**MAIN PURPOSE**:
To lead a team of business support officers and provide oversight and operational management of business and administrative support for the whole Department and for designated Public Health programme areas.

To act as the key contact for the Department and be responsible for deploying the general office resource to maintain efficient and effective communications with both the public, service users and throughout the organisation.

To provide administrative support to:
the Director of Public Health ley

the Consultant in Public Health

the Public Health team as a whole

The role requires understanding of the wider Health and Social care economy, with the ability to work as part of a team and manage changing priorities.

**SUMMARY OF RESPONSIBILITIES AND DUTIES**:
To provide dedicated support to the Director of Public Health and the Consultant in Public Health

Responsible for maintaining a business support and administration function to a high standard for the Department.

Lead a team of business support officers ensuring all staff members within the team are able to manage their workload efficiently.

Work closely with the other Senior Business Support Officers on the management of the business support officers and to develop appropriate office procedures to standardise operations within the team.

Act as the Department’s IT system administrator and as the liaison officer for the Department.

Responsible for co-ordinating timely departmental responses to requests from corporate departments such as HR and IT.

Diary Management for the Director of Public Health; the Consultant in Public Health, including the other members of Public Health, as required..

Supporting and assisting key committees:
Public Health Action Board

Joint Strategic Needs Assessment Steering Group

Suicide Prevention Strategy Steering Group

This will include organising the annual cycle of meetings with both internal and external agencies, gathering appropriate reports in a timely manner, follow-up on actions, setting up and maintaining systems for central reporting for programme management of programmes.

To support the DPH in development of the Annual Public Health report, support data and information collection, collate input from other colleagues, manage drafts, arrange printing and dissemination of the report.

To provide advice, or direct to appropriate staff, in order to give information on public health issues, as appropriate, to members of the public and health professionals.
- To maintain and update filing systems, follow up and bring forward systems, to ensure efficient running of the office and easy access to files for staff.

To prioritise own workload with the ability to plan ahead and highlight to the DPH and senior staff any issues which should be brought to their attention.

Data management, collation and presentation:
To collect data and have responsibility for the accuracy of records held

To present data in a variety of formats to meet the requirements of the Public Health team

To support development of the JSNA and Health and Wellbeing Strategy

Financial duties:
Responsibility for the office stationery and equipment budget; safe-keeping of the Department’s credit card at all times, tracking all purchases and provide an account of all receipts on this card; and any other administrative financial requests as deemed appropriate to the grade.

Provide support for management of the IPROC system, liaising with the appropriate budget holders as required

Collating expenses

Occasional organisation of workshops, conferences and away days involving, venue planning and liaison with speakers and participants to ensure the smooth running of events.

Any other duties as designated by senior staff and commensurate with the post.
