Rota Coordinator

The post holder is to assist the Lead Consultant from the ASU to provide the main administrative support for the smooth running of the day-to-day operational functions of the unit. To co-ordinate the medical staffing rotas, liaising with the consultants, nursing staff and secretaries, ensuring all medical leave is managed appropriately, this being key to delivering the appropriate cover to enable meeting the departments personnel requirements.
To escalate any rota gaps or operational issues that would affect the day to day operational functioning to the Speciality Manager and Lead Consultant of the ASU.
This role is part time 15 hours per week, with specific days preferably being a Monday and Friday.
Management of medical staff leave
- Accurately review and record all medical staff leave and liaise with the Lead Consultant highlighting areas of concern regarding the number on leave at any one time.
- Facilitate processes to ensure all leave is given with 6 weeks’ notice as a minimum, (less by special agreement if appropriate cross cover of commitments is arranged) and to highlight which policy is not followed.
- Maintain a record of medical staff sickness and liaise with payroll as necessary.
Rotas
- Develop and effectively implement the Medical Staffing Rota six weeks ahead, ensuring that the unit is appropriately covered and circulate to all relevant staff as necessary. Where availabilities change, review and amend the rota to ensure the unit’s medical personnel commitments.
- Produce individual timetables for flexible consultants ensuring that the correct number of sessions are worked.
- Provide monthly rota of clinics and liaise closely with them regarding availability of room space/clinical staff.
