**Job Purpose**
To support the University’s search for philanthropic support by providing administrative and prospect management support to the international major gifts programme and to the principal gifts programme.

**Main Duties and Responsibilities**-2. Working weeks and months ahead, manage complex travel international schedules for the team, including the timing of appointments to allow for travel, recommending modes of travel, booking appropriate transport and accommodation and arranging international payments. Use own judgment to resolve any problems as a result of last-minute changes to appointments and travel arrangements.
3. Monitor all elements of complex international trips, ensuring fundraisers have made the essential decisions in time for the issue of invitations, booking of travel and other requirements.
4. Assist in the process of identifying segments of the alumni/donor database (held on Raiser’s Edge) from which potential major donors could be drawn, using own knowledge and expertise to prioritise potential donors for meetings and approaches.
5. Provide general support for the Head of Global Philanthropy and International Philanthropy Team to allow them to concentrate on meeting with and soliciting donors, e.g. compiling briefing packs with meeting locations, directions etc.
6. Ensure accurate records of donor and potential donor interaction are kept by interrogating and updating the Raiser’s Edge database with detailed information encuring a complete record of the relationship with the University is maintained and progress can be monitored and evaluated. Make judgements on the best way to reflect meetings and outcomes on the database, ensuring compliance with privacy regulations and use expertise to suggest improvements to these procedures. Ensure fundraisers maintain efficient contact and follow up of donors and potential donors, “managing up where required to ensure actions are completed.
7. Produce management reports to monitor progress with the international pool of potential donors and measure progress against the team’s Key Performance Indicators.
8. Support the delivery of selected follow up actions for (potential) donors, e.g. co-ordinating campus visits involving academic departments and the University’s leadership, deciding visit content with guidance and liaising across the University and with donors to compile schedules.
9. Manage small cultivation events (up to 25 guests) on the database, ensuring the correct people receive the correct invitation and that an accurate picture of invitations and attendees is maintained. Assist in the preparation of messaging at such events, e.g sourcing and compiling powerpoint presentations for delivery by the Principal and others.
10. Where required, assist the Alumni & Supporter Engagement team in the delivery of larger scale events by managing guest lists on the database, preparing e-shots and webpages etc. This can involve a particular degree of complexity where guest lists and contact information are being drawn from a number of different sources and important relationships are at stake (e.g Vice Chancellors of partner universities; major donors; industry contacts, government representatives, international media).
11. Where required, and with guidance, assist the Alumni & Supporter Engagement team in the creation of content for, and updating of web pages and social networks to promote events and other alumni relations and fundraising activity.(CMS T4, training will be given).
12. Prepare letters of thanks for international donors timeously and accurately, ensuring they are thanked for the correct level and purpose of gift and that necessary documentation (e.g Canadian and US tax receipts) are correctly executed. Use expertise to suggest improvements to these procedures.
13. Act as purchasing officer for the Global Philanthropy team, sourcing suppliers and administering expenditure on travel and events in particular. Keep track of and report against relevant budget codes using the Agresso Finance System (training will be given). Use own judgment to overcome any difficulties and negotiate with suppliers and with the Finance Office to successfully pay overseas suppliers within the purchasing limits as set by the Finance Office.
14. Participate fully as a member of the Development & Alumni and External Relations teams, ensuring strong links and good working relationships.
15. Be prepared to undertake projects appropriate to the grade of the role but that might fall outside its direct remit of as the line manager, Director and/or Vice Principal External Relations may advise. This will include providing administrative support in other areas from time to time.
