Key Areas of Responsibility & Accountability

**Recruitment**

Assist the Regional Operations Manager¿s onboarding new recruits into the business by carrying out the following:

- Assist the Recruitment Team and Regional Operations Manager in arranging job interviews.
- Assist HR in ensuring the recruits have completed all elements of Agenda.
- Ensure new recruits pass the relevant medical.
- Ensure new recruits have a payroll number and IT account setup.
- Ensure new starters have an iPhone allocated to them.
- Ensure new starters have a PPE order in the system before starting.
- Ensure new starters have a vehicle allocated and a fuel card ordered through Fleet.
- Ensure new starters have PTS courses and a Company Induction booked in.
**Fleet**
- Manage and distribute any parking fines, speeding fines or similar, to relevant team members with the Fleet Team.
- Work with team members, Fleet Team and Planning Team to ensure all vehicle servicing and MOTs are planned in and completed.
- Keep records of all team members vehicles.
**Hotels & Transport**
- Assist the Hotel Booking Team in ensuring all team members have correct hotels or transport booked.
- Deal with any late requests from team members for hotels or transport.
**Safety**

Keep records of all team members and their close call, safety conversation and safety visit submissions.

**General**
- Arrange any meetings required for team members, including room bookings.
- Arrange team meetings at the request of the Regional Operations Manager, including meeting room, hotel rooms and transport booking.
- Support the Training Dept to ensure refresher training courses are arranged and joining instructions are sent out.
- Support the Training Dept to ensure all staff competencies are kept up to date and assessments are arranged.
**Additional Responsibilities**
- To assist with arranging up to date electronic assessment or paper assessments are sent to the assessors when required.
- To keep all spreadsheets up to date when finished assessments sent in.
- Put all completed assessments in correct folders.
- Chase assessments that were planned to be carried out but have not been sent in.
- Check route app for drivers routes coming OOD and let regions trainer assessor know.
- Ensure drivers that have been on a transit have uploaded the route on the route app.
- Ensure drivers that have been on route refreshing/learning have uploaded the route on the route app each day.
- Send out route packs to all route learners.
- Chase DWRs that have not been sent in.
- Checked fuel has been delivered and update sheets as required.
- Chase Daily, Weekly & Spares check sheets that have not been returned.
- Keep track off PPE that has been ordered for staff.
