An exciting opportunity has arisen to appoint two band 3, full-time receptionist/administrator to support our Community Perinatal Mental Health Service.

This is a 18 months fixed-term contract role and as a receptionist/administrator you will be the first point of contact for patient calling and coming into the department. Experience of working within the NHS or in a healthcare setting in an administrative role is desirable but not essential. Excellent IT and communication skills are required along with the ability to be flexible to the changing demands of the service and the ability to work as part of a team is essential.

Reception duties, welcoming visitors and managing patient flow from reception area to clinical appointment.

Booking and rearranging patient appointments/cancellation

Sending appointment text reminders to service users (clinic list)

Printing and sending letters

Formatting clinic letters to be sent to stakeholder/service users on behalf of clinicians

Supporting with health and safety onsite including the disposing of confidential waste, alarm systems fire procedures and administrating first aid.

Reporting IT issues to ICT support team on behalf of sub team

Managing post (in-coming and out-going)

Booking interpreters

Reporting any concerns to the band 5 admin manager and completing datix when required

Any other tasks appropriate to the grade as directed by the band 5 manager

Room bookings

Liaising with maintenance and cleaning services as required

- To ensure accuracy of data recorded on the Trust EPR, as well as any local information
- Accurately type correspondence and complex reports, summaries and other documents, both clinical and general, using audio and copy
- To implement relevant high-quality office systems and exploit the use of IT, in conjunction with the team manager and in liaison with the administration manager as
- To accurately maintain all relevant service user data systems in a timely manner in accordance with Trust and local standards.
- To manage diaries of allocated managers/professionals appropriately.
- To use initiative appropriately to deal with and prioritise post and telephone
- To deal with all administrative duties to support the operation of the service
- To obtain, create and maintain service user case notes in line with national standards such as Clinical Negligence Scheme for Trusts (CNST) and Trust and local
- To liaise with the Health Records/Outpatients Manager about Access to Records queries if
- To ensure adequate stocks of stationery, supplies and forms are maintained and used cost effectively within the department, liaising as appropriate with the appropriate Line Manager about orders and ordering in line with local procedures.
- To provide, in conjunction with other administration staff, cross cover for other administrators/clinical support workers during periods of heavy work pressure or
- To implement and follow relevant polices relating to secretarial and administrative
- Supporting duty safety check at the end of each day.
- Collating referrals from the shared inbox and sending them to the allocated duty worker.
