JOB OVERVIEW

We have a fantastic new job opportunity for a Facilities Administration Officer / Customer Service Assistant with experience in an administrative and customer facing role and excellent organisation, time management and IT skills.

As the Facilities Administration Officer / Customer Service Assistant you will provide effective and efficient technical and business support to the facilities management team/activities. This will include management of operational assets/activities and assisting internal client activities for community assets.

Working as the Facilities Administration Officer / Customer Service Assistant you will provide a customer focused service for internal and external customers which is based on excellent delivery, service improvement and maximising efficiency.

DUTIES

Your duties as a Facilities Administration Officer / Customer Service Assistant will include:
Provide comprehensive and holistic support service to the facilities management team including carrying out a range of administrative and data/customer/building management tasks. These include supporting processes for/to:
Performance reporting

Building access

Vehicle fleet management

Health and safety management

Data collection/entry

**With key responsibility for**:
Managing room bookings

Issuing access passes

Assisting with the co-ordination of the work of the Superintendents

Monitoring the facilities mailbox

Monitoring CCTV

Administration for the first aid rota

Fleet management

Arranging for vehicles to be serviced/cleaned/picked up

Assist in the design/delivery of projects to improve customer service and/or reduce levels of expenditure

Ensuring that all responses to enquiries and complaints are made in an appropriate manner

Provide a professional and positive first point of contact for face to face, telephone and written enquiries for the facilities team

Deal with queries, liaising with internal and external contacts and providing advice and guidance where required

CANDIDATE REQUIREMENTS

Educated to GCSE level or equivalent or equivalent training and experience in a similar environment

Excellent organisational and time management skills including the ability to work under pressure to tight deadlines

Ability to use effective skills to analyse and interpret data from a variety of sources as well as retrieve information held in different formats

Good analytical and data collection skills with excellent attention to detail and accuracy

Ability to demonstrate practical troubleshooting and problem analysis techniques

Demonstrable experience of providing efficient and effective administrative /technical support to a busy team and internal customers. This includes budgetary administration and monitoring

Experience of working in a customer facing role dealing with customers both remotely and face to face (verbal and written)

Experience in work planning and management and of work programmes

Experience of organising meetings and taking accurate notes

Experience of diary management/coordination for colleagues

Experience of carrying out research and producing reports (under instruction)

Experience of accurate data entry and methodical database/systems management

**Experience of using**:
MS Office Word / Excel / Outlook

Adobe Acrobat Pro or other PDF generating/editing system

Computer Aided Facilities Management Systems

Excellent IT skills and computer literacy

Experience of handling confidential and sensitive information/data

Full UK driving licence

**BENEFITS**:
Local Government Pension Scheme (LGPS)

Paid holiday entitlement starts at 26 days per annum and increases with length of service to a maximum of 33 days per annum. This is pro rata for part-time employees
