We have an opportunity for an Office Administrator to join our Glasgow-based Ship Management client.

Reporting to the Facility Manager, this is a fantastic opportunity to provide administrative support to the wider business.

**THE SUCCESSFUL APPLICANT**- Good standard of general education or equivalent experience.-
- Excellent verbal and written communication skills.-
- Ability to prioritize tasks.-
- Good problem-solving skills.**JOB DESCRIPTION**- Opening up office each morning/screening night service messages.-
- Checking, logging, and distributing incoming mail items for each department.-
- Processing outgoing courier shipment requests and preparing associated paperwork.-
- Monitoring stationary stock, printer, and other office supplies.-
- Administering switchboard everyday business calls and forwarding to relevant departments.-
- Providing Reception for checking in guests and clients.-
- Processing requests for visitor WI-FI password.-
- Processing catering and transportation requests (ordering business lunches, taxis, teas, coffee etc).-
- Site walkaround for defects and issues inspections.-
- Updating EL-VIS system with details of forthcoming office visits.-
- Updating INFORUM Employee Photos site.-
- Act as fire Marshall, first aid and mental health first aid.-
- Fire alarm testing weekly.-
- Lead on hosting events - such as Christmas celebrations.-
- Liaise with facility management vendors, including cleaning, catering, and security services.-
- Maintain the office condition and arrange necessary repairs by liaising with Facility Manager.- You may be asked from time to time be asked to undertake other tasks that are considered to be relevant to your position._
