Team Administrator

We are looking for a highly organised individual, to join us as a Team Administrator & PA within our Corporate & Commercial team.
The prime focus of the role is to provide proactive, efficient, client-focused and professional administrative support to the Corporate team, to ensure the smooth management of their day to day affairs, and facilitate the most effective use of their time.
**Key tasks include**:
- Answering incoming calls and providing updates to clients where appropriate. Passing on messages accurately and quickly.
- Support team in booking meetings with clients and other third parties, including booking of meeting rooms and venues as appropriate.
- Manage Partner's electronic diary and schedule meetings and appointments, and reallocation as necessary.
- Ensure the Partner has all necessary documentation and details required ahead of meetings.
- Manage Partner’s travel arrangements as required, and prepare and submit Partner's expenses.
- Organise internal team meetings, and record minutes and actions arising from meetings.
- Prepare correspondence and documents through audio, copy typing or verbal instruction and word processing in a timely manner.
- Carry out filing for the team, ensuring all electronic and hard copy paperwork, (e.g. telephone notes, meeting notes, letters, etc) is filed to the correct matter.
- Opening and closing files in accordance with the Firm’s detailed procedures.
- Prepare mail and enclosures for dispatch.
- Produce ad-hoc reports and presentations.
- Carry out copying and scanning.
- Provide support to other secretaries during busy periods.
- Ensure the confidentiality of all the Firm’s and clients documentation and information.
**What we’re looking for**:
- At least 3 years’ experience in a similar role - experience in a law firm would be advantageous but not essential.
- Demonstrates proactive approach to work and ability to take initiative in supporting the team.
- Displays a vibrant and positive attitude to work at all times, taking ownership of tasks.
- Excellent general IT skills, including Outlook and Word, and able to pick up new systems quickly.
- Excellent written and verbal communication skills.
- Excellent phone manner, displaying a high level of client care at all times
- Excellent administrative and organisational skills, with a methodical approach to work.
- Able to balance competing priorities, as well as adapt to changing priorities.
- Good interpersonal skills and proven ability to foster effective working relationships with colleagues.

**Salary**: Up to £23,000.00 per year
