Team Administrator

We are recruiting for a full-time Team Administrator to join our existing team. The post holder will provide secretarial and administrative support to the Partners and management team ensuring the efficient running of the firm-wide administration function.
**Main Responsibilities include**:
- To provide administrative support to allocated departments, including file management, updating client database, scanning, photocopying and ad hoc projects
- To format complex tenders and other general documents to ensure standardisation of administrative documentation
- Delivering administrative support to the marketing team, providing assistance creating documents using various design software packages
- Undertaking duties for allocated partners/management team providing diary management, schedules, weekly reports, and any ad hoc duties required
- Provide an accurate and efficient typing service including correspondence, reports, tenders, letters, and accounts for all departments
- Support Administration Manager with office procurement, facilities services, and maintenance issues
- Reception duties, First point of contact. Meet and greet clients and staff
**Requirements**:
- Excellent communication skills with a high level of proficiency in English, both written and verbal
- Ability to maintain confidentiality
- Previous administration experience within a fast-paced and high-volume environment
- Excellent IT skills and a comprehensive knowledge of Microsoft packages, especially MS Excel and Word essential
- Ability to produce a variety of documents using MS office - PowerPoint, presentation software
- Excellent organisational skills and the ability to prioritise work
- Ability to produce work to a consistently high standard with excellent attention to detail
- A driven individual who will take ownership for their work and use initiative to solve problems
You will be working in a stand alone role in Edinburgh, but work alongside the operational team in the Edinburgh branch including audit and accounts. You will be expected to build working relationships with your co-workers and will have regular teams meetingswith your colleagues in Dundee. This is a real opportunity to work with a lot of people and to find out how all parts of the business work.
Ideally they are looking for someone who is not afraid to take ownerships in day to day tasks, take initiative and come up with ideas and implement new procedures as you see fit. You should possess strong IT skills and be wiling to get to grips with additionalsoftware in the future. There is also the opportunity to get involved with presentation packages for the operational team and while one partner does a lot of audio dictation at the moment, they are retiring next year, so that volume will drop then and theright person will be able to get more involved in additional tasks.
