All of the rates are depending on skill and experience

**Working Days and Hours**:Monday to Friday 9am to 5pm, 37.5 hours a week

**Job Purpose**

To provide a comprehensive Personal Assistant and administrative function to the Executive Directors in order to maintain an effective and efficient service. To work collaboratively with other members of Corporate HQ and staff Trust-wide to make a directand positive contribution, to the smooth organisation of the Trust. It is essential that independent judgement and initiative is used and appropriate action is taken to ensure the positive promotion of the image of Coventry and Warwickshire Partnership Trust,whilst supporting its values and vision

**Duties**
- To provide a comprehensive secretarial role to the Executive Directors including: word-processing, drafting and producing reports/letters/business documents etc from either/or audio or copy sources, ensuring any follow
- up action is taken
- To deal proactively with correspondence and other forms of communication on behalf of the Executive Directors, liaising with other offices to collect and exchange information and draft replies for approval where appropriate
- To be aware of and have a general understanding of relevant policies and procedures and current issues in order to act as a point of contact for those who require information and when appropriate, deal with routine enquiries on behalf of the Executive Directorsand Corporate HQ
- To prepare summaries and outline reports and correspondence concerning more complex matters under the direction, and at the discretion, of the Executive Directors
- To attend and service Board Level and Senior Management meetings, as appropriate: to circulate in advance of the meeting appropriate documentation and after the meeting, to prepare action notes/minutes as required, in accordance with Trust guidelines
- To, as required, provide cover for Wayside reception, fulfilling full reception duties in accordance with the Trust’s Reception Working Guidelines
- Ensures relevant training is provided for administrative staff to enable them to carry out their work in an efficient and systematic manner
- Builds good working relationships with all team members that are within management control, and to ensure a sound knowledge of the administrative support that is being provided by the team
- In the event of a major incident or emergency situation, to undertake any other duties as required to support the work of the Trust to maintain business continuity. This may include work outside of the normal sphere of activities, including functions notdetailed within this job description or working within another location. To act as a loggist in the Command centre or at the discretion of the on-call Director

**Knowledge, Skills and Experience**
- Evidence of Further Education at A Level or above (or equivalent experience)
- Short-hand / audio typing qualification at RSA II or higher
- NVQ3, RSA III or equivalent word processing ability
- Highly proficient in MS Office: Word, PowerPoint, Outlook, Excel, Sharepoint
- Internet and basic database skills
- Strong Organisational Skills: Prioritisation, Multi-tasking, time management, managing to deadlines
- Confident with handling and routine analysis of numeric data
- Able to draft correspondence and reports with minimum supervision and use of initiative
- Able to maintain confidentiality
- Extensive PA experience for a senior manager or director in a medium sized or large organisation
- Experience of supporting and minuting senior / board level meetings
- Experience of providing support to and prioritising work for more than one individual
- Flexible and adaptable approach to work, able to anticipate upcoming requirements
- Self-motivated, comfortable and able to work on own initiative; solution oriented problem solver
- Excellent Interpersonal Skills; confident and assertive, good influencing skills
