We are looking for an enthusiastic and motivated individual to join our Pay Services Team as an Apprentice Administration Support Clerk. This is an 18 month fixed term contract. If you are interested in a secondment for this role, it can be facilitated.

Our aim is to ensure all Trust colleagues are paid accurately and that payroll deadlines are met. We provide a first class customer service to our colleagues with a dedicated Pay Services Helpdesk and dedicated Payroll and Pensions mailboxes to facilitate enquiries. Our Pay Services intranet page receives an average of 10,000 hits per month.

The post will support the Pay Services team in all aspects of pay, pensions and benefits.

We will support your studying of the Level 3 NVQ in Business Administration, whilst on your apprenticeship.

The main duties of this role are to provide a first class customer service to our colleagues via our dedicated Pay Services Mailbox and assist with all aspects of Pay, Pensions and Benefits administration. Please see the details in the job description and main responsibilities, below.

Working for our organisation

Our friendly and professional team comprises of 23 colleagues, we have 6 management staff, 10 Payroll Officers, a Pensions Officer, 2 Technical Support colleagues and 4 Administration staff.

Many of our team are currently working from home, with some preferring to be office based. We also offer flexible working hours where colleagues can start before 9am and finish as late as 6pm.

We communicate with each other daily using MS Teams and Cisco Jabber (phone). We hold monthly Team Meetings and the management team meet on a weekly basis.

Detailed job description and main responsibilities

KEY JOB RESPONSIBILITIES

Accurate and timely input of temporary information into the Electronic Staff Record (ESR) the payroll system, for the NHS. This will include Extra Duty Hours and Locum claim forms

Tasks related to the NHS Pension Scheme, including:
Issuing transfer packs

Logging termination forms

Preparing and sending out AW8 Retirement packs

Administrative tasks related to salary sacrifice schemes, Lease Cars, Home Technology and White Goods and Cycle to Work, including:
National Minimum/Living Wage and eligibility checks

Processing lease car orders

Driving licence checks

Processing delivery notifications

Assist with processing orders received through the Vivup portal. This includes performing National Minimum Wage (NMW) checks and assessing employment status

Assist with logging and inputting all T (Termination) forms on to ESR which are received into Pay Services, ensuring these are forwarded onto the appropriate colleague in a quick and timely manner

Assist with looking after the Pay Services Mailbox on a rota basis, answering queries where possible. Where a query cannot be resolved, forwarding it onto the appropriate colleague within the department or Trust. Ensuring queries are dealt with in a timely manner

When required; participate in the Pay Services Helpdesk, resolving queries “at call” wherever possible. Where a query cannot be resolved at call, ensure that calls are logged and referred to an appropriate colleague

Completion of forms relating to mortgage/rent references and any other requests for pay details

Distribution of paper payslips to Trust managers

Filing and scanning of all Pay Services paperwork

Collection, opening and distribution of incoming mail; delivery of outgoing mail to the collection point at the appropriate time to ensure timely dispatch of Pay Services correspondence

Ordering of stationery and office supplies using on line systems as required

Logging calls in respect of any IT issues with the Trust’s helpdesk or external suppliers

Performing the monthly Automatic Enrolment upload onto NEST for any employees not eligible to join the NHS Pension Scheme

Any other duties as and when required as appropriate to the position
