**JOB PURPOSE**
- Manages all key interactions between the CHRO and HR Exec team to provide comprehensive administrative support
- Collates and distributes the materials for all HR Exec meetings in a timely manner
- Works with the CHRO and HR Exec team to ensure that all NewChapter programmes and projects are coordinated effectively
- Deals with confidential matters on behalf of the CHRO and HR Exec team
- Organises and prioritises critical issues and required information for the CHRO and HR Exec team
- Ensure a positive image of the CHRO and HR Exec team through all communications and interactions.
- Complete administrative support for the CHRO and HR Exec team

**MAIN TASKS**
- Provide full administrative support to the CHRO and the HR Exec team
- Provide high level of customer service and be a key interface between the CHRO and HR Exec team and its internal and external customers
- Has a flexible attitude and is willing to perform varying duties depending on the shifting needs of the company
- Engaging with key stakeholders to organise the agendas for the CHRO and HR Exec team
- Taking minutes of meetings as and when required and distribution of follow-up actions
- Participates in project management when necessary, which involves duties on a weekly, monthly, and quarterly basis
- Within project management, organises and gathers information from various departments and meetings and reports that information
- Carries out other duties as necessary, which may include simple tasks such as filing and making appointments and organising meetings.
- Organises meetings, agendas, conferences, events and travel in liaison with the CHRO and HR Exec Team
- Look ahead to ensure all agendas are prepared for meetings, prepare and circulate meeting materials and take minutes
- Ensure calendars are well organised and maintained, working pro-actively with others to resolve diary and meeting room conflicts.
- Create purchase orders in E1, process invoices, process expenses on behalf of the team.
- Organise couriers, travel arrangements, taxi bookings and catering for meetings as well as IT forms for new starters
