**Main purpose of job**:
To be responsible to the Civic Services Officer for:
- providing a receptionist and general information service for all users, including Members, staff, customers, contractors, tourists and the general public visiting any of the Belfast City Council city centre premises; and
- operating the retail area located at the reception area in the City Hall and any additional retail areas that may be established at any of the city centre premises.
**Summary of responsibilities and personal duties**:
1. To carry out the Reception Administrator duties at all assigned Belfast City Council city centre premises on the basis of rotas developed by the unit, and to deal effectively, efficiently and in a friendly manner with tourists, visitors, the public, members of council and staff.
2. To deal with all reception desk enquiries, including the display, holding and issuing of relevant council information, and as required issue information on special events and initiatives.
3. To issue visitor and contractor passes and to use all supplied systems and services to do so, to give directions when required.
4. To assist as required with the receipt, reconciliation and safe-keeping of income received in respect of the operation of retail areas and admission activities, including the display, sale, replenishment and stock-taking of merchandise.
5. To receive enquiries both by telephone and from personal callers, and to make bookings for tours.
6. To assist in the provision of a range of routine business related activities, for example, customer support, data input and extraction, compilation of relevant statistical information and general administration tasks as required.
7. To compile and update relevant information on services provided by Belfast City Council and external bodies and provide this on request to tourists, visitors and members of the public.
8. To assist in reception administration related operations at any exhibition facilities in City Hall or other city-centre council properties as and when required.
9. To assist all tourists, visitors, contractors and members of the public in adhering to the prevailing evacuation procedures.
10. To operate as necessary the internal public address systems including the making of announcements, and to operate when required access-control and automated systems located at the reception areas.
11. To update and maintain visitor information points and public information boards located in the main reception areas.
12. To answer incoming calls using the council’s voice telephony system when required during times of peak usage.
13. To assist with any postal requirements for each of the civic buildings including the sorting and pigeon holing of incoming mail and the preparation of post for collection.
14. To assist with the induction and training of new reception staff and temporary cover workers on the duties and responsibilities of the post.
15.To carry out any other relevant duties as directed by the appropriate officer
**Essential criteria**
**Experience**:
(a) providing a reception service, preferably for a large organisation; and
(b) dealing with enquiries from internal and external customers, both in person and over the telephone, providing a high level of customer service.
