- The Administrative Support Officer (Planning and Council Secretariat) is one of an eleven-strong Governance team within the Planning and Council Secretariat (PACS) division. The Governance team is responsible for supporting and advising on the University’s central governance: Council, Congregation, the maintenance of the University’s legislation, and certain of Council’s committees, including the Planning and Resource Allocation Committee, the Finance Committee, and their subcommittees.The role provides an excellent opportunity for an individual interested in starting or developing a career in university administration to gain experience, as part of the team whose responsibility encompasses the breadth of the University’s activity. Your initial role will provide general administrative support to the Governance team within PACS, in particular in relation to Council and its committees and web support, being the first port of call for those in the Governance team. You will also provide specialist support for the administration of Congregation membership and the management of the Congregation database. You and other members of PACS will also work across the section to provide support where it is most needed.

You will be required to develop an understanding of key committee processes and the University’s web content management system, and an in-depth knowledge of the processes for managing the membership of Congregation, working with the University’s bespoke database for administration of Congregation membership.

You will be required to work collaboratively with members of PACS and with staff across the University.

As your experience in the role develops, it is expected that there will be opportunities to engage with other areas of PAC’s work and gain knowledge across a range of planning and governance related areas.

**Responsibilities**:
The worker will provide support for a range of administrative activities across PACS, liaising and working with other support staff, as appropriate. Responsibilities will include:
**Council and committee support**

Working with other support staff within the section to:

- Oversee the arrangements for the meetings supported by the PACS section, including canvassing availability, booking meetings in diaries and confirming attendance; booking venues, equipment and catering; and receiving guests from within and outside the University;
- In support of Council specifically, prepare the introductory material for new Council members; draft the web agenda, preparing non-confidential papers for publishing, preparing draft student/NAO/agenda and minutes; and support the preparations for Council’s annual Away Day and other ad hoc projects or working groups associated with Council.

**Communications and web support**

Working with other support staff within the section to:

- Monitor proactively PACS’webpages and ensure that they are kept up to date; respond to requests for changes by other members of the section, coordinating and working as part of the team with the other support posts in the section to provide the cover needed on this throughout the year;
- Update legislation on the University website;
- Carry out accessibility reviews on the website to ensure compliance with accessibility requirements, making adjustments as necessary and providing feedback and training to other web editors within the department; review feedback and comments provided by visitors to the website, collaborating with other members of the team to update content as required.
- Support, in conjunction with another member of PACS, the Council SharePoint site as a whole (which provides sites for most of Council’s committees, including those run by other sections within UAS), including trouble-shooting for other UAS sections and guiding new users on setting up and maintaining sites, workflow functionality and technical support for the SharePoint sites in PACS;
- Update organisational structure diagrams using Microsoft Visio;
- Provide general administrative cover, including answering telephone calls, booking rooms, greeting and welcoming visitors to the department, handling general enquiries and taking forward any other urgent administrative tasks.

**Congregation administration**
- Congregation is the sovereign body of the University. It has just over 5,500 members, including academic staff; heads and other members of governing bodies of colleges; and senior research, IT, library and administrative staff. Congregation has responsibility for approving changes to the University’s statutes and regulations, considering major policy issues submitted by Council or members of Congregation, electing members to Council and other University bodies, and approving the appointment of the Vice-Ch
