REPORTS TO: Senior Accommodation and Lettings Officer

PURPOSE OF THE JOB

To be responsible for and support the delivery of a customer focused service to applicants interested in or allocated to, the council’s void properties, including general needs, sheltered, extra care, temporary accommodation and hostels voids.

Ensure that applicants are able to exercise choice over their home in the case of general needs properties.

To ensure that properties are let according to the council’s policy and that new tenancies are administered to ensure a successful tenancy process.

JOB CONTEXT
- To provide a comprehensive voids service to all households.
- To provide a visible and approachable presence in Southwark’s Voids service, including Temporary Accommodation and Hostels
- To work closely with all housing services, Council Departments, health professionals and third

sector.

PRINCIPAL ACCOUNTABILITIES

**Responsibilities**:
1. To provide a customer focussed and approachable presence in Southwark’s voids service to include temporary accommodation and hostels.

2. To be the first point of contact for any void related issues. To lead on face to face, telephone and written communication with residents.

3. To process the termination of properties, including management of keys, raising work orders to the contractors and record property information on the relevant database.

4. To ensure correct information is sent to Housing Options to enable the property to be advertised and update iWorld as necessary.

5. Responsibility for assigned work streams within specific areas, including attending handbacks and agreeing the return of void properties and attending weekly meeting with the relevant contractors and energy suppliers.

6. To work in unison with the council’s nominations team to ensure properties are allocated to quickly and efficiently and that information is provided to applicants to ensure the best possible opportunity for a successful viewing.

7. To provide accurate information to all households viewing council properties about the property and its amenities.

8. To coordinate, produce and report against performance documentation within
milestones/deadlines and liaise with colleagues as required. Responsibility for void trackers and other document configuration; managing circulation and version control and inputting into quality and change control.

9. To ensure that awareness of key amenities and facilities in the surrounding areas of void properties to in order to provide a full and comprehensive assessment of factors affecting individuals decisions over council property.

10. To complete all steps within the void process, including viewings, as required by the council; in order that a successful property let may take place and that a tenancy is able to commence at the earliest opportunity with a tenant who is able to afford and setup to pay their rent.

11. To identify and record vulnerability issues, in collaboration with colleagues from Housing Options. To work with colleagues in housing and other departments/stakeholders to ensure that new tenants have the support and services required to sustain their tenancy; be it secure or
temporary.

12. To ensure that all complaints and enquiries are handled within required timescales and that learning is feedback in to the Council’s service.

13. To prepare, collate and distribute information and reports, including collation of sign up packs, ensuring that deadlines are met.

14. Monitoring performance, preparing written performance reports and other reports for tenants, residents and line management in an accurate and timely manner, including coordinating and servicing void and team meetings as required; taking minutes and following up action points.

15. To undertake any task commensurate with the duties of Accommodation and Lettings Officer. These duties might change from time to time.
