Airbus Helicopters is the world’s largest helicopter manufacturer and the company’s site at Oxford Airport is Britain’s civil helicopter hub.

AHUK is the MoD’s chosen provider of helicopters and maintenance for its Defence Helicopter Flying school (referred to as MFTS) located in RAF Shawbury (Shropshire) and RAF Valley (Anglesey).

**Description/Overall purpose of the Job**

**(JOB TITLE - Team Assistant, Shawbury - UK Military Flying Training System (Rotary Wing) Reports to UK MFTS (RW) Management Assistant**
- To provide administration support to the Head of MFTS, Senior Managers and Management Assistant to maximise the effectiveness of the MFTS Ramp-up period and to take over the administrative work of the MFTS Management Team.

**The main responsibilities of the post holder will be**:

- Providing overall support for the Head of MFTS, Senior Managers and Management Assistant.
- Diary management, booking of internal and external meetings ensuring that the room booking diary runs smoothly at all times.
- Producing documents, letters, memos.
- Liaising with other departments at all levels within the company.
- Liaising with accounts department in respect of invoices (current or outstanding), employee expense claims, etc.
- Raising purchase orders, non-stock requisitions and vendor approval forms for invoices to be paid.
- Keeping our site cost monitors up to date at all times.
- Managing incoming post, correspondence and telephone calls.
- Printing and Photocopying
- Ordering and maintaining sufficient levels of Stationary
- Support meetings and produce accurate notes.
- Process visitor forms for all staff and visitors to Shawbury.
- Provide additional administrative support for the MFTS team as directed by the MFTS Senior Management Team.
- Liaise with Station to arrange station inductions for new starters, this includes annual fire and security training.
- Compile the staff tracker and weekly whereabouts.
- Monitor and manage the access for all employees and visitors within the airbus facility.

**The post holder would ideally have the following Knowledge and Skills**:
**ESSENTIAL**
- High level of IT skills, proficiency in Microsoft Office, Word, Excel, Outlook as well as SharePoint.
- Knowledge and understanding of office procedures and terminology.
- Excellent customer service skills, a friendly and professional manner with our customers and internal departments.
- Good standard of literacy and numeracy for reporting and administrative writing.
- Key organisational skills, possess the ability to plan, and prioritise workloads to meet deadlines.
- Working knowledge of SAP
- A basic understanding of accounting practices desirable

**We require the post holder to have the following Education, Qualifications or special training**:
**ESSENTIAL**
- GCSEs including Math's and English
- European Computer Driving License (ECDL)
- Recognized qualification in Business Administration

**Other requirements**:
**TRAVEL**
- Basic Security Clearance is required for this position due to MoD Security requirements.
- Must have a Full UK driving License and a vehicle available for work purposes.
- Hours of work; 37.5 hours per week

**Additional requirements**:
