Supporting with the off-duty Maintaining asset registers Dealing with any deliveries and delivery notes Liaising with external partners in the procuring/returningequipment Organise and maintain diaries for the team Arranging meetings allocating sufficient travel time andensuring appropriate paperwork brought forward Prioritising requests for meetings Providing/obtaining travel directions Support other staff in the planning and administration of eventsto ensure the best use of professional time.To set up outreach/meetings/events and provide additional support as follows: Ensure suitable venue, required equipment and hospitalityneeds are booked Take minutes of meetings, circulate agendas, correspondingpapers, and minutes of meetings within agreed timescales. Assist with the facilitation of events as necessary, includingpreparation and circulation of papers/promotional materials,setting/clearing up on the day, greeting and ensuring needs ofattendees are met. Assist in the preparation and production of promotionalmaterial, e.g.

Investigating options and finalising arrangements for printingand distribution to meet the required deadlines. To assist/contribute to the development and creation ofdatabases; and to ensure that data is kept continually updated. To provide or assist in the provision of statistical information,queries and reports as required by the team. Deal with in-coming and out-going mail appropriately: Ensuring any outgoing mail is sent through appropriatemethods e.g.

internal or first class post. Incoming mail distributed appropriate and timely. Any urgentmail highlighted as necessary in the absence of intendedrecipient Respond to telephone enquiries and visitors to the department: Deal with telephone calls in a professional and courteousmanner, taking and forwarding messages accordingly. Greeting and providing hospitality to visitors to the department Prepare and arrange for appropriate authorisation ofrequisitions for equipment and services.

Policy and Service DevelopmentFollows administrative procedures for the organisation.Contributes to development of, and implements, administrative/ITprocedures for own area of work.Financial and Physical ResourcesResponsible for the safe use and security of Directorate equipment.Maintains stationery/stock control.Maintains accurate records/invoice. Human ResourcesProvides training to new starters, bank or agency staff.Information ResourcesEnsures data available and maintained in accurate and timely manner.Take minutes, transcribe and type. Research and DevelopmentParticipates in reviews/audits relevant to own areas ofwork/administration procedures.
