This role offers an exciting opportunity to join the Proton Beam Therapy (PBT) team at UCLH. We are looking for someone with good organisational and communication skills as they will work closely with a wide MDT Team including clinical oncologists, referring trusts and site-specific MDT coordinators. They need to be proactive and good at working independently as they will be responsible for managing their workload in a timely manner. They will also need to have good attention to detail to ensure patients move swiftly through their pathway. As a key member of the PBT team, they will work closely with the wider multi-disciplinary PBT team.

The post holder will be responsible for managing referrals received via the PBT National Referral Portal from a wide catchment area. They will need to ensure that all relevant clinical information is available to facilitate each patient’s discussion at a site-specific MDT.

They will support the delivery of performance targets including activity and Cancer Waiting Times, by tracking patients through their pathway, and escalating any potential breaches in a timely manner.

They will be responsible for booking clinic, CT, MRI and treatment appointments for PBT patients, as well as organising accommodation, transport and interpreters as required.

They will also be the first point of contact for many patients, informing them of the appointments and coordinating their PBT pathway.

In addition, they will provide supervisory support for the receptionists/concierge team.

To proactively co-ordinate PBT patient pathways from initial referral through to follow up, booking all associated appointments and tracking patients throughout the process to ensure appropriate treatment is received in line with national and local targets. To provide a highly supportive service to patients and carers coming to the PBT department and to liaise effectively to provide streamlined PBT treatment pathway. A strong focus will be put on providing a high quality, effective and efficient service for both patients and the wider multidisciplinary team, with an emphasis on delivering a positive patient experience, and excellent customer care.

UCLH has been designated as one of two national PBT centres for the UK. The PBT department is situated in the new Grafton Way Building and is equipped with four Varian Probeam gantries and a pre-treatment suite consisting of a dedicated CT and MRI scanner. Once fully established, this service will treat around 650 NHS patients and approximately 200 privately funded patients a year. The department mainly treats tumours of the CNS tumours, head and neck cancers and spinal/pelvic sarcomas. Paediatrics, and teenage and young adults, will make up approximately one third of the patient cohort.

**Main job duties/responsibilities**:

- To manage a diverse patient workload and throughput, co-ordinating the PBT patient pathway to ensure patients are seen in an efficient and timely manner and booked within national and locally set targets. This will require liaising with external trusts and working closely with internal site-specific MDT co-ordinators
- To register and track PBT patients through their pathway, making sure that they progress through the different stages in a timely manner so that they are seen within the cancer waiting time targets
- To organise and maintain precise record keeping providing details of each individual patients position within the patient pathway for use by the multi-discipline team.To communicate information in accordance with and in a manner that is consistent with relevant legislation, policies and procedures. To monitor the processing of all PBT patients and draw to the attention of the PBT Admin Clerical and Bookings Team Manager and the other superintendents any problems and delays
- Liaise with other organisations and MDTs to obtain relevant clinical data on patients attending the service
- Work with the site-specific MDT co-ordinators to ensure PBT are discussed at the relevant MDT in a timely manner, and all relevant information is available
