**Job Purpose**

To provide an efficient and professional administration support service to all members within International and the ProEx Team, additional support across Bishopsgate teams.

**Main Responsibilities**:

- Booking divisional overseas and UK travel including flights, accommodation, transport in accordance with Company Travel & Entertainment Policy.
- Maintain various divisional records, such as team whereabouts, calendars, travel and visitor calendars, gifts and hospitality and other records as required.
- Full diary management of Managing Director.
- Production of client itineraries for events and visits to include a day-by-day agenda.
- Typing of insurance documentation and minutes/action points at team meetings when necessary.
- Co-ordination of arrangements for client visits and meetings with Underwriters including meeting room bookings, lunches, dinners, transport and hotels, client entertainment and assisting with refreshments as required.
- Preparation of business communications to include assisting with the production, amendment and binding of presentations, reports and tenders.
- Co-ordination of corporate events, team building days and socials.
- Actively communicate and be able to update relevant employees on your progress with work allocated.
- Ad-hoc administration and project support.
- Assisting with expense administration.

**Compliance**:

- Comply with relevant legal, regulatory and Ardonagh Specialty compliance requirements, Errors and Omissions (E&O) compliance procedures and quality initiatives.
- Escalate any potential E&O's to Divisional Directors and the Legal & Compliance team at the earliest opportunity.

**Experience**:

- Ability to prioritise and organise own workload to ensure that deadlines are met.
- Ability to maintain confidentiality at all times.
- Attention to detail and accurate data input.
- Ability to work individually and as part of a wider team.
- Ability to develop and sustain relationships with both internal and external clients.
- Confident and professional demeanor, including telephone manner.
- Previous experience as a Team Co-Ordinator or in a similar role for 3 years.
- Previous Insurance experience is not essential.
