**Role Summary**
The Sales & Marketing team is responsible for identifying, sourcing & managing all sales opportunities, taking initial leads through a structured quotation process and culminating where successful in signed contracts.
The Sales & Contracts Administrator role is to support the team by producing and issuing quotations and supporting documents to clients and their sub-contractors. This often requires the revision of existing quotes to reflect changing project requirements, and liaising with clients, contractors and internally to ensure any changes are clearly communicated and understood. The role includes being the custodian of, and maintaining up to date records in, the Insite CRM system (Big Change Apps).
**Key Responsibilities**
The Sales & Contracts Administrator (SCA) has responsibility for producing accurate and timely quotes and quote acceptance documents which include up to date company terms and conditions, as instructed by the Sales & Marketing team.
The SCA is expected to be able to answer quote related queries from Clients as well as internal teams, amend issued quotes to reflect evolving project requirements, and ensure changes have been understood, accepted, and updated on the relevant Insite Energy systems.
Responsibilities for the SCA include:
1) Produce & issue quotations and quote acceptance documents for clients
- Adhering to the prescribed quote processes & utilising agreed company systems; prepare and issue approved new business quotes in a timely, accurate & communicative manner.
- Update quotes to reflect changes in project / client requirements, and issue to clients ensuring any changes are communicated clearly, along with instructions to clients where appropriate.
- Update and record all new equipment quotations and signings on the signings tracker and CRM system.
- Where clients sign the equipment instruction (QAF), chase for additional information to progress the project to the next stage.
2) Populate and maintain CRM system (Big Change Apps)
- Assist in the initial qualification of leads, ensuring all required information is obtained & recorded.
- Assist in production of monthly / ad-hoc reports summarising new business activity.
- Support in producing the first draft of the monthly board report pack.
3) Interface with other parts of the business
- Communicate new business wins, activity & news to internal teams following agreed processes; including the creation of Project Initiation Documents (PIDs).
- Assist the interface between Sales & Marketing and Insite Energy teams to ensure effective transition of new schemes through the Onboarding process.
4) Financial management of Sales & Marketing output
- Ensure financial accuracy of all new business quotes prepared, issued & updated.
- Ensure successful quotes and client acceptance forms / orders are processed through to the relevant teams for timely and accurate invoicing to clients.
5) Provide Support to the Contracts Department
- Collect information for the preparation of contract documents; and support with formatting / amending as required.
- Support with the preparation of engrossments and correspondence to clients.
- Record the status of contract documents through maintaining the contracts tracker, uploading all relevant documents in accordance with filing and archiving processes.
- Carry out money laundering and relevant online searches through Companies House website.
- Support on chasing outstanding data protection contracts twice yearly.
- Support contracts department in handling client documents, management of signing contracts and chasing outstanding tasks.
**Qualifications, Key Competencies, Skills & Experience**:
**Essential**
- Experience in administration, preferably within a sales / new business / contracts team;
- Experience in a role that interfaces externally with clients;
- Experience in using and administering a CRM system (such as Salesforce or similar);
- Highly proficient using Microsoft Office suite;
- Experience using accounting / financial software packages (experience of using Sage is an advantage);
- Excellent written / verbal communication skills;
- Strong numerical capability, confidence and a good eye for detail;
- The ability to work well independently and both in, and across, teams;
- Excellent organisational and time-management skills; and
- Positive can-do attitude and ability to multitask.
**Desirable**
- Experience of working in construction or housing related industries is an advantage.
**Work Location, Hours & Travel**
- Insite Energy offices, Peterborough (Stuart House, St John’s Street) or London (WeWork, 131 Finsbury Pavement), with homeworking as per agreement with line manager
- Full-time, part-time or reduced-hours roles considered
- Fixed term contract, up to 12 months
