The Operations Support Coordinator at Rubitek will be a key contributor to our dynamic team, working closely with the CEO, the development team, and our customers. This role combines administrative support, technical assistance, and operational coordination to ensure the smooth functioning of our business and the satisfaction of our customers.
You'll be working closely with Rubitek's CEO, and assisting your colleagues, as well as talking to our customers so it's a varied role. You'll gain exposure to experienced business leaders, gaining valuable multifaceted business experience often not possible in larger organisations.
**Key Responsibilities**:
- Administrative Support:_
- Manage the CEO's diary, including scheduling meetings, appointments, and travel arrangements.
- Assist with invoicing, including preparing and sending invoices to customers.
- Perform bank and cashflow reconciliation, ensuring accurate financial records.
- Technical Support:_
- Respond to technical support requests from customers, providing timely and effective solutions.
- Document and escalate complex issues to the appropriate technical teams when necessary.
- Maintain a high level of customer satisfaction through professional and courteous communication.
- Development and Testing:_
- Assist the Development Manager in testing new developments passed by the developers before release.
- Create and execute test plans, document test results, and report bugs or issues.
- Maintain the development roadmap on the company website, ensuring it is up-to-date and accurately reflects project statuses.
In your role as the next amazing member of our already fabulous team, you'll need to be able to:
- Talk and communicate confidently to our customers about our solutions and products (don't worry, we'll teach you about what we do)
- Use our systems and technology and be confident appearing in person online (when we deliver our demos, webinars), or attend meetings and events with us
- Build strong relationships (we're looking for someone who thrives on interaction)
- Be able to manage multiple priorities and support the needs of your colleagues (in a small company, your role will encompass many aspects of what we do)
- Pay close attention to detail and demonstrate a high standard of proficiency in spoken and written English (we, and our customers, expect high quality when it comes to how we interact)
- Be comfortable working towards goals, deadlines and targets
You'll earn a great salary whilst achieving a Level 5 Operations / Departmental Manager Apprenticeship qualification, and, if we work well together, there'll be opportunities for you to progress. You may even be invited to join our employee Share Scheme, which means you could be a shareholder in our business in the future.
