Receiving and Directing Patients Receive and direct patients on arrival at the reception desk in a friendly and courteous manner and ensuring their requirements are met professionally and efficiently Answer all calls in a timely, polite, and professional manner Receive, make, and divert calls as required Provide help to patients with general enquiries, and to assist them to make, cancel and rearrange appointments Follow the triage process and direct patients to the most appropriate clinician Maintain the appointment system and monitor the flow of patients Respond to patients requests for home visits Receive, record and direct accurate messages when appropriate and pass these onto other members of the team Inform patients of their test results To advise patients on approximate waiting times and of any unexpected delays To take in fees from patients where applicable, record appropriately and issue receipts To give patients any forms/referral letters that are waiting for collection and taking in fees where necessary To listen to patients complaints, always remaining polite and empathetic, making sure they are addressed and dealt with appropriately, enlisting the help of a Site Lead when needed Administrative Duties To deal with Footfall requests coming through electronically to the practice Ensure the patients have up to date contact details To deal with document workflow in the clinical system Check emails, both in own NHS net account, internal email and the generic email addresses and action as appropriate Record, read code and update patient data on the computer system Register new patients, who are in the practice area and temporary residents in the clinical system ensuring all details needed are completed Open post, date stamp and distribute appropriately Scan patient communication into clinical system and allocate to the appropriate clinician including sending tasks where appropriate Post outgoing letters at the end of each shift when required Undertake photocopying as needed Telephone patients for recall and data collection purposes and correctly record data in patients medical record Follow the repeat prescription protocol regarding issuing or directing prescription requests to the most appropriate person Photocopy the practice leaflet, ensuring that there is always a supply available at reception Make up registration packs (GMS1 & New Patient Questionnaire) Complete tasks sent via SystmOne and Footfall (or any other clinical system or document management system which may replace these). Complete tasks given to reception team by any other staff member
