**RESPONSIBLE TO** FINANCE MANAGER

**LOCATION** FORESTGROVE BUSINESS PARK, BELFAST, BT8 6AW

**WORKING HOURS** PART-TIME (20 HOURS PER WEEK)

**JOB BRIEF**

We are looking for a responsible and enthusiastic Administrative Assistant to join our admin team in our Belfast office. Main duties of the role include telephone / reception duties, booking travel arrangements for staff travelling to customer sites across the UK and Ireland and assisting the Accounts team by inputting data onto Excel and Xero.

**KEY TASKS AND DUTIES**
- Telephone/Reception Duties
- Travel arrangements - booking flights, hotel accommodation, trains etc as required
- Inputting data (Xero accounting software) - recording travel and out-of-pocket expenses
- Use of Microsoft office products including Word and Excel i.e. typing of general mail, specifications, final accounts, reports, minutes etc.
- Credit card and petty cash reconciliation
- Booking-in incoming mail
- Preparation and posting of outgoing mail
- Ordering stationery and general office/cleaning products
- Photocopying documentation if required
- Scanning and electronic archiving of files
- Serving tea/coffee and occasionally light lunches at meetings
- Any business journeys required in connection with the delivery of documents/trips to post office/bank etc.
- Complying with all company policies and procedures
- Other Ad-hoc duties as required by the Directors/Accounts Manager/Senior Admin Assistant

**Expected hours: No more than 20 per week**
