Reporting to the Customer Service Team, the Fire Risk Assessment Coordinator plays a crucial role in providing high-level administrative support to the Fire Risk Assessment Team. The FRAC Fire Risk Assessors work diaries, liaising with customers who have confirmed their Fire Risk Assessment quotes and appointments and organising all associated documentation and activities prior and post visit. The FRAC must deliver excellent customer service and support to customers and take all opportunities to gain a positive outcome for the Company. All aspects of administration to support smooth operations must be demonstrated and all behaviours in support of our values must be evident throughout your employment.

**Role Responsibilities**

Maintain and coordinate the Fire Risk Assessment work schedule. Confirm and schedule appointments upon quotation acceptance. Ensure that the FRAs receive clear and timely instructions for their schedule and the customers are also advised of their visit, site responsibilities and contact details.

Maintain an accurate work schedule to ensure any division within the company has clear sight of FRA availability.

Arrange and coordinate travel plans, including booking flights, hotels, transportation, and creating itineraries for FRA’s. Ensure all travel documents are organized and clearly communicated.

Maintain FRA Software (FCS) and ensure documents, records, and files associated to the FRA are accurately assigned to the job/site. Prepare and edit reports, presentations, and other materials as needed. Through your actions develop a working knowledge and understanding of PAS79 assessments.

Keep track of tasks and deadlines for FRA’s and for the Customer, ensuring all associated FRA post visit administration is compiled, completed and distributed.

Ensure all works completed are invoiced in a timely fashion with all supporting information shared with the customer.

Build and maintain positive working relationships with internal and external stakeholders. Serve as a liaison between the customer, the FRA and other teams.

Proactively identify and address issues and challenges that may impact the FRA workload and find efficient solutions.
