Administrative Assistant and Receptionist

**What does the role involve?**
We are looking for a motivated and organised individual to support in a range of administrative tasks and functions.
This is a front of house role, reporting to the Office Manager, where you will play a crucial part in the daily running of our head office.
The post is full time (37 hours per week), Monday to Thursday 9:00am till 5:00pm and Friday 9:00am till 4:30pm.
Key duties will include:
- Managing the daily incoming/outgoing post.
- Scanning, photocopying and filing documents both electronically and paper-based as required.
- Carrying out weekly stock checks on stationery, PPE equipment, office consumables, etc.
- Placing orders as required and storing away on receipt.
- Assisting in the archiving and disposal of documents in line with GDPR retention schedules.
- Booking of meeting rooms, ensuring spaces are tidy and ready for use.
- Minute taking.
- Inputting data and upload documents into various key systems.
- Maintaining and updating spreadsheets for payroll purposes.
- Formatting draft documents ready for distribution.
- Issuing ID badges as required.
- Assisting in the maintaining and updating of Coquet Trusts website and intranet as needed.
- Responding to queries in the HR inbox and redirecting queries as required.
- Responding to standard reference requests.
The above is not an exhaustive list of duties and may vary when deemed necessary, in the overall interest of Coquet Trust. The post holder will be expected to undertake other duties as appropriate to the level of the post.

You will have the ability to multitask, prioritise your workload and manage your time effectively. Working alone and as part of a team.
You must understand how to represent the trust in a professional manner and maintain a good reputation at all times. You will take pride in your work, carrying out tasks to a high standard with honesty and integrity
