Supporting a serviced office space in Aberdeen City, the role of Business Administrator / Reception has become available on a permanent basis. This role is to provide and maintain a high level of customer service to company clientele, whilst supporting with the smooth running of day to day duties. You must hold experience in a front of house role, the ability to use a switchboard and working Excel knowledge.
Reporting to the Assistant Manager, you will be part of a small team who all get stuck in and support each other.
**Main duties and responsibilities include**:
- Operating switchboard, greeting all visitors and guests professionally and handling any customer service issues in a professional manner.
- Ensuring all new clients are welcomed, whilst liaising with clients to maintain accurate itinerary information.
- Ensuring offices are prepared for new clients and returned after vacating, organising meeting room bookings, assessing needs, and facilitating client requirements.
- Preparing monthly and casual invoices and other duties.
- Attaining competency in the administration and understanding of IT including phones and internet.
- Handling basic sales queries.
- Raising work orders, purchase orders and ordering supplies (cleaning/stationery/maintenance etc.) when needed.
- Being responsible for general housekeeping and daily quality checks.
**Applicants to this role require**
- Experience in a similar front of house role.
- Proficient with all Microsoft Office packages and have confidence using a variety of software programs/apps used for daily operations.
- Switchboard experience.
