**Main purpose of job**:
Responsible for ensuring that reception area portrays a welcoming and professional image and to act as the first point of contact for visitors and callers. The role also provides the Facilities Manager with administrative and facilities management support.

**Key tasks**

1. Responsible for maintaining reception area and carrying out front of house duties which includes greeting and directing all visitors and callers. This part of the role will at times be carried out whilst using a headset, therefore is not deskbound.

2. Oversee meeting rooms booking system, ordering lunches, co-ordinate changes to meeting room layouts, ensuring rooms are always serviced and presentable, replenish meeting rooms stationery, providing support to hospitality assistant as and when required.

3. Responsible for accurate distribution and sending of mail. Receive, log and distribute deliveries of all parcels to the office. Arrange couriers as and when required.

4. Provide administrative support in relation to all facilities contracts, including liaising with suppliers; logging and scanning invoices; filing documents; recalling and sending documents from/to archive storage.

5. Provide ad hoc admin support to other departments with producing documents, presentations, or data entry.

6. Responsible for monitoring and maintaining supplies of stationery, dry stock, and any other facilities associated orders such as business cards. Will include producing, coordinating and recording all departmental purchase orders.

7. Provide security and health and safety support to include issuing staff passes, acting as Fire Marshall and carrying out fire safety duties and Display Screen Equipment assessments.

8. Maintain an understanding of the activities of the Facilities Manager to have confidence to provide cover as and when required.

9. Respond to ad hoc queries from staff and clients in relation to facilities services and office maintenance, to include reporting out of order lights, adjusting office space temperature etc.

10. Carrying out regular office walks to ensure fire exits are not obscured, paper cupboards are stocked up (replenish when necessary), and generally checking that the office space is tidy.

11. Logging calls with building management concerning the building issues; liaising with contractors and engineers.

12. Liaising with building reception regarding visitors and weekend/out of hours office access; issuing staff passes.

13. Provide training to temporary staff ensuring that professional standards are maintained.

**Job Types**: Full-time, Permanent

**Salary**: £30,000.00-£33,000.00 per year
