Learning & Teaching Administrator

**Job Purpose**
Responsible for the provision of comprehensive administrative support to Course Convenors, Senior Teaching Administrator and Head of Professional Services to ensure the efficient functioning of the Schools learning and teaching activities and enhance the experience for students and staff. To provide an enquiry, information, advice, and front-line support service to prospective, new, and continuing students.
**Main Duties and Responsibilities**
1. Responsible for the delivery of an efficient and effective administrative service to support the School’s Learning and Teaching activities, including the management and administration of:
- Undergraduate courses, including the support of students, course convenors, GTAs and other stakeholders, ensuring first level assistance and effective communication with the School, College and University Services.
- A range of duties to support the student lifecycle and on course management, including enrolment, timetabling, course management, attendance monitoring and graduation.
- Student academic records within My Campus and local records systems, including recording of student marks, attendance records, processing and recording good cause.
- Records relating to taught course provision through the course approval process/Programme Information Project (PIP), ensuring that course changes and new developments are processed efficiently and within deadlines, ensuring relevant consultations and paperwork have been completed.
- The distribution of course materials, assessment submissions, return of feedback and tracking deadlines via the School Assessment & Feedback calendar.
- Dealing with queries from students, academics and visitors; offering appropriate support/signposting to students in close cooperation with academic staff; assisting students to register and enrol in MyCampus; relaying the correct information to students/academic staff.
- The coordination of exam diets for allocated courses, adhering to deadlines for production of exam papers, the exam timetabling process, and disabled student exam arrangements, including arranging venues, equipment and invigilators, and liaison with external examiners.
- Academic exam boards, including their organisation and clerking, creation and dissemination of formal exam board materials; recording result amendments, arrangement of Joint Board meetings, and uploading and publishing of results.
- The appointment of class reps and being responsible for the dissemination of information about SRC training.
- The co-ordination and production of course evaluation questionnaires via Evasys, liaising with the Course Convenor and ensuring that feedback is returned to course cohorts via Moodle.
- Provision of high-level administrative support to key Subject level activity: mitigation, progress, Subject and staff/student liaison committee meetings.
- Preparing student handbooks and web/Moodle materials; assisting with Open Days and Careers events.
2. Contribute to a culture of continuous improvement through identifying and supporting the implementation of process improvements to enhance the student and staff experience within the School and participate in wider improvement projects.
3. Contributing to the delivery of an excellent level of administrative support for staff and students across the School and College; working collaboratively with colleagues within the School and across College and undertaking other duties as reasonably required by the Senior Teaching Administrator and Head of Professional Services.

**Knowledge, Qualifications, Skills and Experience**

**Essential**
A1 Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.
Or: Scottish Credit and Qualification Framework level 7 (Advanced Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.
**Desirable**
B1 Broad understanding and in-depth knowledge of the University structure, policies, practices and procedures.
B2 Operational knowledge of University systems including MyCampus, CMIS and Moodle.
**Skills**
**Essential**
C1 Ability to undertake assigned tasks in a timely manner and acceptable standard and able to work under considerable pressure and in a changing environment.
C2 Ability to take Initiative and judgement to resolve problems independently.
C3 Excellent IT and numeracy skills, including up-to-date skills in Microsoft Office suite.
C4 Ability to create and operate software systems for compiling and manipulating complex spreadsheets and databases, including the use of formulae and data integrity checks.
C5 Ability to communicate clearly orally and in writing to ensure effective reporting and customer service.
