Learning and Teaching Administrative Assistant

**Job Purpose**
In conjunction with the other School Learning and Teaching Administrators, to provide comprehensive administrative support to Course Convenors, Heads of Subject and Head of Professional Services to ensure the efficient functioning of the School’s taught courses, both UG and PGT.
Reporting to the School Senior Teaching Administrator, to provide the effective and efficient operation of both the undergraduate and postgraduate teaching and learning support across the School of Critical Studies, ultimately supporting the School to meet its strategic objectives and targets.
**Main Duties and Responsibilities**
1. Support teaching staff in all aspects of the Administration of undergraduate and postgraduate courses with responsibility for the day-to-day management of allocated taught provision including the support of students, course convenors, GTAs and other stakeholders, ensuring first level assistance and effective communication with the School, College and University Services.
3. Supporting the Learning and Teaching Administrative Team with all pre-course administration to ensure timely and efficient running of the course and to enhance the student experience. This will include assisting with organising student induction days, preparing course and tutor handbooks, set up of course spreadsheets and Moodle sites, assisting with all room bookings and timetabling on the University’s Central Room Bookings system and input to MyCampus via class scheduling component, ensuring correct size of rooms and any other facilities required for the programme considering tutorial group sizes, numbers and disability issues.
4. Monitor and review SCS web pages to ensure accuracy of information and update as required.
5. Coordinating the appointment of class reps and being responsible for the dissemination of information about SRC training; clerking staff/student meetings.
6. Provide support to groups and committees including notetaking and preparation of minutes as appropriate.
7. Liaise with service departments across the University and external organisations as appropriate to expedite the workings of SCS. This may include arranging travel and accommodation for staff and visiting speakers.
9. Contribute to a culture of continuous improvement through identifying and supporting the implementation of process improvements to enhance the student and staff experience
10. Employ University procedures in relation to the confidentiality of personal data relating to staff and students.
11. Contribute to the delivery of an excellent level of administrative support for staff and students across the School, supporting colleagues in the SCS admin team and undertaking other administrative duties in support of the School’s learning, teaching and research aims as requested by the Head of School Administration, Senior Learning & Teaching Administrator and School/Course Conveners.
**Knowledge, Qualifications, Skills and Experience**
**Knowledge/Qualifications**Essential**
A1 SCQF Level 5 (National 5 or 6, SVQ Level 2/3) in secretarial or administration and English or equivalent.
A2 Strong knowledge of IT packages, including Word, Excel and Outlook.
**Desirable**
B1 Knowledge of University systems, eg PIP, CMIS, MyCampus, Moodle, T4 software training.
B2 Knowledge and understanding of Higher Education structures, policy, practices and procedures.
