Job Title: Administration Apprentice

Pay scale: United Learning Apprenticeship Pay Scale

**Salary**: £11,623 - £14,068 Dependent on age of apprentice

Working hours: 37.5 hours per week
- 8.00am to 4.30pm

Term Time (39 weeks) plus 2 weeks

Reporting to: Office Manager & PA to Principal

Overall Job Purpose:
As an Administration Apprenticeship at The John Roan School, the postholder will be an integral support to the Administration and Reception Team, reporting directly to the Office Manager & PA to Principal. This role is essential in supporting a first-class day-to-day service and the postholder must be IT literate and possess a confident telephone manner and the ability to multi-task.

The role is to work alongside the current Administration Team and learn all aspects of administration and reception whilst working in a busy environment. Invaluable experience will be gained within the Administration and Reception areas of the school whilst working towards a L3 Apprenticeship. Liaison with all required stakeholders is essential for the role, therefore, the postholder will receive training in this area but it is expected that they demonstrate exemplary customer service.

To provide a strong administrative support service to the school, maintaining school office systems in an effective and consistent manner to the benefit of the school.

To have a strong work ethic and the ability to learn whilst working in a busy environment.

**Specific Duties**:
**Administration Responsibilities**

**To undertake all training available**

**To send parental communications via Arbor using attention to detail, following training received**

**To show good attention to detail**

**To support with maintaining and inputting of accurate pupil records on the school’s MIS (Arbor) - training will be provided in all areas**

**To process and check requests from parents in writing or verbally, maintaining high levels of confidentiality and data protection**

**To be responsible for admin filing within the department, checking with HOYs and Pastoral Officers to ensure all filing is received in a timely manner and is kept up to date**

**Support with new admissions, working closely with the Senior Administration Officer ie making up of new files and chasing for missing information - full training will be given**

**To maintain student files**

**Support with off-rolling and in-year student leavers**

**Any other duties commensurate with the general level of responsibility of the post as directed by the Office Manager or Principal**

**Reception Cover**

**Carry out Reception cover and lunch duty cover as required (a lunch break will still be provided)**

**To act as first point of contact on behalf of the school for all visitors, parents, deliveries and contractors; ensuring school safeguarding procedures are followed - training will be provided**

**To deal competently and professionally with telephone and reception enquiries**

**To support with the running of the reception desk and all of its duties/tasks**

**To support the entering of late students onto Arbor (sign in) - training will be provided**

**To be competent in the use of the school’s walkie talkie for calling on-call or first aid. This is vital in order to reach members of staff quickly and accurately - training will be given but the postholder must have the confidence to speak clearly over the radio**

**To monitor the Westcombe Reception inbox whilst on Reception and deal with queries and ensure they are passed on to the appropriate member of staff in liaison with the other Administration Officer.**

**To open and distribute mail as appropriate**

**Support to ensure that all messages are taken and passed to the correct member of staff**

**General Duties**

**Undertake relevant training as required to support the functions of the post and to enhance personal development**

**Attend meetings as and when required**
