**Position Summary**:
As a Personal Assistant at KPFA Limited, you will play a pivotal role in supporting our dynamic team, ensuring the smooth operation of our daily activities. Your role will be integral in managing schedules, coordinating meetings, and handling administrative tasks, thereby contributing to the overall efficiency and productivity of our firm.

**Key Responsibilities**:

- Manage and organize the calendar of senior staff, scheduling appointments, meetings, and travel arrangements as required.
- Act as the first point of contact, handling correspondence and phone calls, and professionally representing the firm to clients and stakeholders.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Manage and file documents and ensure that all confidential materials are handled with discretion.
- Assist in the preparation of financial reports and presentations by collecting and analysing information.
- Coordinate and manage office administration tasks, ensuring that all equipment and supplies are maintained.
- Organize internal and external meetings, including coordinating logistics, preparing agendas, and taking minutes.
- Follow up on action points from meetings to ensure that tasks are completed within the set timelines.
- Liaise with internal departments and external parties to ensure effective communication and coordination of activities.
- Provide support in managing client relationships and maintaining comprehensive client records.

**Qualifications**:

- Proven experience as a Personal Assistant or similar administrative role.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with accounting software.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Excellent attention to detail and a proactive approach to problem-solving.
- Ability to work independently and as part of a team in a fast-paced environment.
