Medical Secretary- Part Time

1) First point of contact for dealing with complaints / queries from clients - mainly in answering telephones and always maintaining a professional manner

2) Data entry and pricing of all cytology cases. This mightinclude audio typing and additional reports (all working towards agreed turnaround times) and having a sharp eye for detail. A very high level of typing accuracy and speed is essential.

3) To accurately transcribe patient demographics and input macroscopic descriptions to the laboratory information System (LIS) and relevant databases.

4) Help with Invoices and Insurance requests

5) Booking Couriers and taxis

6) To assist in ensuring new staff / temporary staff receive adequate training, support, and guidance.

7) Scanning of confidential reports.

9) Follow instructions given by the Office Manager / Laboratory Operations Manager.

10) To refer problems (where necessary) to the Office Manager / Laboratory Operations Manager.

11) To take part in annual appraisals

Other duties will include:
Close attention to detail.

Copy and pasting of results

Immuno and additional charges

Franking letters and packages on behalf of the Company daily.

Updating client details

Archiving of cartridges and any unnecessary items

Filing of request forms

Completing new web access forms to be processed by the IT department.

Arranging cytology pathologist appointments

Chasing external results and checking pathologist outstanding lists (cover)

Being first point of contact to all pathologists - helping them the best you can

Being of assistance to the laboratory and the staff.

Communicating with the accounts and marketing team.

Checking answer phone messages ü Ordering of stationary (keeping a close eye on shortages)

Attending monthly lab meetings

Participating in regular office meetings

Offering suggestions for things that will benefit the office and your team

At times it may be necessary to stay later to complete tasks (report to office manager)

Assisting (or covering) in weekly and monthly invoicing

Assisting (or covering) checking of courier invoices

Vigilant in completing tasks independently and seeing if there is anything additional to be completed.

Show a willingness to help.

Perform well under pressure, consider your staff peers and always be well presented.
