**Tenancy Manager**

**Central London**

**£38,000 - £40,000**

My client are looking for a Tenancy Manager to assist the Management Team with the efficient and effective management of a designated property portfolio comprising of AST, statutory periodic, regulated and assured tenancies, with the overriding aim of reducingvoid periods and maximising rental income, to include but not limited to the following tasks:
**CLIENT CARE**
- To follow and adhere to the Group's policies and procedures at all times, without deviation.
- To prepare reports for the Board as outlined or requested (Vacant Unit Reports, schedules of information etc.)
- To put forward recommendations and obtain instructions (from Line Manger, Area Manager, Regional Control) on matters concerning the effective management of the let portfolio.
- To manage/ prioritise risks and liabilities at all times
- To avoid conflicts of interest at all times
- To maintain good Landlord and Tenant relationships by providing a high quality service to all tenants of the Group.
- To obtain value for money for the Group and act in a commercially focused manner at all times.
- To work with Colleagues to ensure that the Group's interests are preserved at all times.

**TENANCY MANAGEMENT**
- Understand the various types of interest/ tenures that the Group hold and its obligations in respect of each (Freehold, Head lease, Lessee, Leaseback, Tenant)
- Manage existing and new lettings in accordance with the Group's procedures e.g. end of tenancy, renewals, new lettings, rent reviews etc.
- Instruct approved agents (PSL) to undertake a market appraisal and provide their recommendations in respect of any void/ refurbishment works.
- Ensure that void periods are kept to a minimum and rental income is maximised, where possible.
- Ensure that no HMOs are created.
- Undertake, review and interpret tenant reference reports to ensure that offers are only accepted
- Instruct solicitors to prepare tenancy agreements and draft specific clauses e.g. rent reviews.
- Instruct schedules of condition/ inventories and check-in/ check-out reports, prior to the commencement/ at the end of the tenancy.
- Ensure that utility supplies (gas, electricity and water) are managed during the end of tenancy/ new letting process in accordance with the Group's procedures.
- Maintain Property Records in accordance with the Group's policies and procedures.
- Utilise the Group's Property Management Systems (Horizon) to run reports, input data, raise purchase orders, approve invoices
- Undertake routine Property Inspections in accordance with the Group's procedures, identify any defects/ maintenance issues and dealing with these accordingly.
- Attend court as required in respect of Landlord and tenant disputes e.g. rent arrears, breaches of tenancy.
- Deal with disputes/ breaches of tenancy agreement (i.e. rent arrears, unlawful sub-letting) in a proactive way and seek instructions (from Line Manger, Area Manager, Regional Control) to engage solicitors as necessary.
- Ensure all statutory obligations, in respect of residential property, are adhered to at all times e.g. EPC Regulations, Right to Rent Checks, Smoke & C0 Regulations, Deposit Protection etc.

**MAINTENANCE/ REPAIRS**
- Deal with reactive maintenance issues promptly to ensure that the Group does not find itself in breach of its repairing obligations.
- Manage Contractors to ensure that works are carried out in a proper and workmanlike manner and at a reasonable cost.
- Liaise with the Area Building Surveyor regarding refurbishment works, obtaining Agent's advice where necessary.
- Audit/ spot check works before signing off invoices for payment. H&S
- Arrange pre-tenancy safety checks in accordance with the Group's procedures.
- Ensure that H&S is constantly reviewed and that all statutory obligations, in respect of the let portfolio, are adhered to at all times.
- Manage H&S across the designated portfolio using the Group's Management Information Systems (PropertyPlus, Envirotec Portal) and deal with any actions arising in a timely fashion.
- Review statutory inspection reports and deal with any remedial works/ recommendations which are raised, in a commercially focused manner, seeking advice from Regional Executive/ external consultants as necessary.

**FINANCIAL**
- Undertake rent reviews in accordance with the Groups Procedures.
- Answer expenditure queries raised by external auditors, Senior Management on behalf of the Board. To carry out any other tasks, as directed by the Management Team, that is within the capabilities of the job holder.

**SKILLS & EXPERIENCE**
- Sound working knowledge of Landlord and Tenant legislation, H&S legislation, RICS and ARLA guidelines and other best practices applicable to residential property management.
- Excellent verbal communication skills.
- Excellent organisational and time management skills.
- Ability to multi-task and work well under pressure.
- Good IT skills and proficient in Outlook, MS Word, Excel, Knowledge of HORIZON/ QUBE an advantage.
- Good team player.
