Job purpose
The function of the role is to carry out administrative duties to support the transport desk, and train to become a transport co-ordinator
Key tasks
- Breaking down folders + Scanning driver timesheets.
- Keep driver folders fully stocked.
- Completing driver’s hours.
- Making sure driver’s hours match what is entered into leave planner.
- Keying in driver’s manual entries into vision.
- Making sure driver’s Licences, CPC cards + Tacho cards are in date and uploaded on vision.
- Carrying out 6 monthly Licence checks.
- Monitor POW/ Royal pass clearance.
- Monitor driver training and make sure courses are kept up to date and refreshers booked.
- Learn the Transport Co-ordinator role to be able to cover sickness and holidays. The transport co-ordinator role has the below responsibilities.
- Ensure laws are observed relating to the driving and operating of vehicles.
Observe drivers’ hours rules and keep proper records.
Ensure vehicles and trailers are not overloaded.
Ensure vehicles operate within speed limits.
Ensure that motor vehicles and trailers are kept fit and serviceable.
Report promptly any defects that could prevent the safe operation of vehicles/trailers
- Process transport jobs in the transport diary
- Schedule daily workload for 30+ driver/technicians
- Compile drivers’ folders for following day’s trips & check all documentation
- Process petty cash
- Process and report accident forms as necessary
- Processing of parking tickets, ordering fuel cards etc.
- Input transport costs on AMS
- Ensure the vehicles have the correct equipment and materials on board by making regular inspections.
- Ensure Driver technicians are equipped with the correct tools and fittings.
Skills & personal qualities
- Administrative excellence with a high attention to detail
- Ability to maintain clear and concise records, filing and effective monitoring systems
- Excellent computer literacy and telephony skills
- Experienced using Microsoft Office, including Word and Excel
- Well-developed numerical and analytical skills
- Confident communicator, ability to liaise with a wide range of individuals
- Ability to manage time effectively and see projects through to completion
- Flexible approach to work, willingness to work as a team
- Demonstrates a good understanding of Momart’s security programme and their role in it.
- Assists colleagues, customers and suppliers in resolving security issues and escalating where necessary.
