Fabulous Facilities Assistant - Full time -12- 16 week contract - Central Cambridge.

You will provide an excellent, proactive Facilities service at in this front facing customer-focused role.

*deliver the day to day operational FM services to colleagues and visitors and ensure the facilities are safe, clean, well-stocked, suitably maintained, well presented and comfortable at all times

Main duties and responsibilities:
Customer Service
- Provide a warm welcome and efficient service to visitors and colleagueswhilst manning the reception area and answering incoming calls via the switchboard.
- Ensure meeting rooms are clean, tidy and set up in accordance with clients’ requests.
- Regularly inspect toilets, the kitchen, and all other shared spaces ensuring they are clean and well stocked at all times.
- Managing all incoming and outgoing mail and courier services.
- Proactively identify, report and manage reactive maintenance jobs
- Oversee planned maintenance, ensuring it is carried out safely and as intrusively as possible.

Administrative Support
- Assist in the updating and development of procedure manuals for all services provided by the team.
- To use the designated system to log and monitor all work requests and meeting room bookings.
- Produce accurate daily meeting room schedules for display outside bookable meeting rooms.
- Maintaining logs, records and check sheets as requested.

Safety and Security
- Act as a First Aider and a Fire/Incident Warden.
- Use and update the AssessNet system in order to report incidents and accidents and complete various check lists.
- Act as Incident Warden (fire) and First Aider.
- Administer security access system and issue passes as directed by the Facilities Supervisor
- Participate in the Facilities Integrated Emergency Plan and Business Continuity Plan attending training as required.

Contract Management and Procurement
- Support the Deputy Facilities Manager in supervising and monitoring the safe working practices of on-site contractors.
- Liaise with the Landlord to resolve any maintenance issues that arise within the office and the wider building.
- Set up Purchase Orders when instructed to do so.
- Regularly check stationery stocks and order replenishments as required.

General
- Constantly seeking ways to make the workplace better, more efficient and effective, safe and happy.
- Support colleagues in Swindon when required to do so.
- Carry out all other reasonable requests of the Facilities Supervisor.
