Operations Administrator

We are looking for an **Operations Administrator** to join the **Operations Team** at Thermatic Technical FM.
As a Thermatic Operations Administrator you are a member of the Operations team. The Operations Team’s main aim is to deliver agreed services to our customers with the upmost standard and efficiency, whilst maintaining and delivering all cost lines. As an Operations Administrator you will support this purpose by reviewing and validating all timesheet entries for the remote engineers, ensuring the timesheets accurately reflect the time engineers have taken to attend jobs and complete work-related tasks. Other duties include approval of engineer expenses, ordering of engineer uniform and collating engineer absences.
To be succesful in this role, you will have strong communication skills and a collaborative approach to working. Outstanding problem-solving skills and strong customer service and interpersonal skills to deal with different customers and departments within the business.
A background in an administrative function with the Facilities Management industry is essential and previous experience in timesheet management or similar would be desirable.

**Hours & Location of Work**:
- Main location - Thermatic Head Office, Salford. Opportunities to work remotely will be available.
- Regular hours of work - Monday to Friday, 8am to 5pm - 40 hour working week
**Responsibilities include**:
- Review and validate daily time sheet entries using our Operations System (JobLogic)
- Compare travel time between JobLogic and our Fleet Trackers to validate entries.
- Identify missing time sheet data and engage with the Operations team to correctly assign the time.
- Liaise with engineers when discrepancies are identified to resolve and communicate changes to timesheets.
- Work alongside the finance team to ensure engineers are paid accurately for overtime worked.
- Assist with the logging of engineer activities on our Operations System (Job Logic).
- Ensure absences, holidays and sickness are recorded accurately.
- Processing of engineers expense claims.
- Comply with the monthly payroll cut-off timings to ensure engineers are paid accurately.
- Other ad-hoc administrative duties that may be required by the Operations team.
