**Position:**:Zeta Services are looking for a Business support Officer to join a busy team based in Bicester. The Zeta Group operates in health, safety and environmental compliance working with organisations to ensure they meet their legal commitment with respect to these important matters.

Zeta Services provides expertise in the specific areas of Water and Fire Safety, employing consultants across the UK to survey buildings and report back to our clients. Our Reactive and Support Services carry out remedial work identified as required during risk assessments as well as the regular monitoring of client’s systems.

The right individual will need to be extremely organised, have excellent attention to detail with strong communication skills to interact with internal and external parties with exceptional customer service. A good Team player, with the skill to problem solve effectively and create reports when required.

**Purpose of this position **:To provide full administrative support the Operations team

**Key objectives**: Deliver proactive, timely, accurate and effective administrative and secretarial support that helps the business to achieve departmental and organisational objectives.

**Key responsibilities;**
- Creating and processing orders from clients;
- Book consulting appointments for our field technicians with Zeta clients ensuring that the appointments are managed efficiently in terms of location;
- Managing the external client databases;
- Producing reports and providing management information when requested;
- Ensuring invoices are raised to the correct amount;
- Signing off technicians work to ensure it id completed accurately and on time;
- Perform accounting tasks, including preparation for invoicing isn’t this what finance is for?
- Tracking costs against client budget;
- Answering telephone calls and dealing with matters where possible then signposting the query to the correct person;
- Communicating with and supporting field consultants;
- General Data Entry;
- Contribute to the continuous business improvement process and to the meeting of business objectives;
- To be an ambassador for the company at all times internally and externally;
- Comply with Health & Safety Policy and safe working practices, ensure responsibility for safety and discipline in work area and report accidents and ‘near misses’ in accordance with defined safety procedures;

**Requirements:**:Qualifications : Good level of GCSE’s.

Experience : Proven experience as an Office Administrator

Job Function Technical Knowledge and Skills include but not limited to;
- Strong Microsoft package IT knowledge in particular excel;
- Extremely organised with excellent attention to detail;
- Solid communication skills to interact with internal and external parties with exceptional customer service;
- Excellent team player with the skill to problem solve effectively and create reports when required;
- Flexible approach to changing deadlines and prioritisation of workload and tasks;
- Ability to adapt flexibly to new priorities and additional tasks;
- The ability to work as part of a team, and on your own initiative, is essential, along with the skills to be flexible, multitask and work to demanding deadlines in a busy working environment;
- Plan and prioritise work to manage conflicting tasks, meet delivery deadlines/ targets, review progress, with minimum supervision Must have the ability to cope with pressure;
