Overview:
**Responsibilities**:
- **Penalty Charge Notices & Notice of Intended prosecution**
Accurately administer the processing of all Penalty Charge notices received in the post daily.
Recharges to be completed and sent to customers & recorded correctly.
- **Vehicle Taxations**
Ensure all the company’s vehicles on fleet are taxed within the expiry date and the company’s system is updated accordingly.
- **Depot recharges**
Ensure recharges are sent out in a timely manner, are correct and in line with our current recharge agreement. All PO’s received are applied. Any outstanding recharges are followed up for PO’s and any disputes resolved. Weekly reports are updated.
- **Used Sales Administration Support**
Supporting used sales in sending out all compliance paperwork tocustomers when an asset has been sold.
- **Inbound Calls**
Answering any inbound telephone calls from customers that have any enquiries and gaining information of their query so it can be added to the CRM accordingly.
- **General Admin Duties**
- Opening, Sorting and Distributing Mail.
- Scanning, Photocopying and filing documents.
- Conducting research and compiling date upon request.
- Managing office supplies.
In the absence of the Operational Support Manager, you will oversee the following:
- **Hireco Fleet Maintenance Administration (Retail Work only)**
Booking in Jobs keeping in line with the Service Techs working Calendar, keeping in constant contact with the customer and the Technician on Job Approvals. Raising Job Cards and Invoices and ensuring all pricing is correct. Ensuring all compliance documents are accurate and uploaded to the company system.
- **Bistro Administration**
Ensure all supplier costs are updated on the bistro’s back-office system, and the front counter till’s prices are accurate.
**Experience**:
- Ability to work within a team environment as well as alone.
- Excellent customer Service Skills.
- Active Listening Skills.
- Excellent Verbal and Written Communication Skills.
- Computer literacy with word and excel to an intermediate Level.
- Ability to communicate confidently with customers and colleagues.
- Strong organizational skills to plan, prioritize and execute duties.
- Ability to meet time scale deadlines & prioritize workloads.
- Flexible approach.
Pay: £24,000.00-£25,000.00 per year
