This position of Team Administrator, for the Staff Psychological Service, provides an exciting opportunity to join a small yet established team, working to support the Mental Health and Wellbeing of all staff working across Wrightington, Wigan and Leigh Teaching Hospitals NHS Foundation Trust.

The role of the Psychological Support Administrator will be to provide comprehensive administrative support to the Psychological Support Team but may also be expected to provide support to the wider Staff Experience Department. The Staff Psychological Support Administrator will undertake a range of administrative and clerical tasks, to ensure that these aspects of the Staff Psychological Service operate smoothly.

- Hold an interest in supporting Staff Mental Health and Wellbeing
- Possess a high standard of keyboard skills
- Hold experience of managing clinical record management, to a high standard, within GDPR regulations.
- To be professional and empathetic with clients
- To hold excellent communication skills, when interacting with all disciplines of staff
- To possess high level planning and organisational skills
- Able to prioritise and manage workloads with autonomy
- Able to focus and work efficiently within a busy environment, with frequent interruptions
- Able to work collaboratively within a team
- Able to follow guidelines and procedures
- Competent in IT skills including Microsoft Office programmes e.g. Word, Access, Excel, PowerPoint, Publisher, Teams
- Able to input, manipulate and extract data from spreadsheets such as Excel
- Able to manage Microsoft Teams strands used for team communication
- Able to maintain and protect confidential, sensitive information appropriate and in accordance with GDPR regulations

On-Call

Please note that senior positions (AFC band 8A or above) may be expected to participate in an on-call rota, if the role is predominantly operational.

**This role will include**:

- Responding to a wide range of enquiries and requests for information with empathy and consideration, triaging enquiries made of the Staff Experience Team, as appropriate.
- Responding to enquiries, directing queries/messages to the appropriate member of the Psychological Support Team in a timely manner.
- Maintaining a professional attitude when dealing with the general public and colleagues alike, whilst using effective communication skills.
- Maintaining awareness of other Services available to Staff, within the broader Staff Experience Department, to signpost queries or requests, where appropriate.
- Supporting the Staff Psychological Team through booking clinical appointments as well as managing room bookings.
- Holding primary administrative management and oversight of the team’s clinical recording system (i.e., IAPTUS) and assist members of the Staff Psychological Service, with any queries concerning IAPTUS administrative processes.
- Undertaking statistical data inputting and analysis, to contribute to the Service’s monitoring of activity and outcomes as well as provide this data, to support the Service within the context of assurance reporting.
- Processing Oracle supply orders for the Psychological Support Service.
- Supporting with relevant meetings/ training courses (e.g., booking rooms, inviting staff etc).
- Completing work in a timely manner to meet key performance indicator targets.
- Prioritising, reviewing and managing workload to meet deadlines and key performance indicator targets.
- Preparing relevant paperwork for the Psychological Support Team and support remote or satellite working.
