**Duties and Responsibilities**
- To communicate effectively, positively and professionally with potential patients and their relatives, booking patients in for appointments and processing admission forms.
- The post holder will work closely with hospital colleagues, consultants and medical secretaries.
- Make patient bookings in outpatient clinics and/or inpatient admissions, cancel, update and re-schedule as necessary.
- To register patients onto SAP with relevant data.
- To accurately enter and process bookings into SAP and send out relevant correspondence.
- Liaise with consultants and their secretaries on a daily basis.
- To deal with patient referrals from GP surgeries in a timely manner, to include documenting all incoming correspondence.
- To deal with medical secretary requests relevant to bookings in a timely manner, to include documenting all incoming correspondence.
- To liaise with outpatient staff (or any other departments) directly to organise the diary and the booking of clinic rooms.
- Any ad hoc duties.
- Liaise with consultants and their secretaries where appropriate.
- To set up theatre sessions working in close liaison with consultants and theatre staff.
- To inform theatres and the ward of special requirements or individual requests.
- Confirm details of admissions with patients/consultants/consultant secretaries (as appropriate).
- To be fully trained on the Lifebox system and creating patients episodes on the system ready for their appointment.
- To send SMS appointment text and reminders to patients.
- Taking payment over the telephone for self-pay admissions using the Streamline machine.
- To communicate with theatre manager and theatre admin staff regarding late bookings and changes to lists.
- Processing NHS referrals, including direct listings, ERS, clinical ordering and rejecting where necessary. Inputting information into IEP spreadsheet, scanning and creating green files.
- Bookings in NHS follow up appointments and ensuring the rules about re-booking and DNA’s are followed.
- Creating, changing and closing down umbrella accounts for NHS patients.
- Preparing clinic notes for NHS patients, requesting notes from medical records and sending clinic lists to relevant consultants.
**Who we're looking for**
- Standard of education - 5 GCSE, grade A-C or equivalent
- Experience in a customer facing role
- Experience of working independently and on own initiative
- Working to deadlines
- Team working
- Ability to work effectively, make decisions and solve problems without close supervision
- comfortable in using MS Office and in learning other software
- Manages multiple tasks and conflicting demands
- Prioritises work to ensure key deadlines and service levels are met
- Ability to use systems and engage with customer on the telephone at the same time
- Computer and keyboard skills with quick and accurate data search and entry
Contract Type: Permanent / Part-time
