**Reports to**:Deputy Head’s PA / Office Manager
**Roles and responsibilities**
**Welcome visitors and incoming calls**
- Ensuring a responsive and welcoming reception for all students, visitors and enquiries.
- Ensure visitors are signed in and out correctly and are attentive to ensuring compliance with safeguarding guidelines.
- Efficiently managing incoming calls, responding positively to all queries, taking appropriate action and prioritising as necessary.
- To communicate effectively and co-operate with persons or bodies outside the school and to actively promote the school’s values when doing so.
- Keeping up to date with information on the school website and the school calendar of events in order to answer parental queries efficiently.
- To organise and manage incoming and outgoing mail, deliveries and collections.
- Collation and distribution of internal communications, e.g. daily form time notices and all staff communications.
**School admin**
- Arranging and booking tours for prospective parents.
- Supporting Admissions & Transitions process, e.g. proofreading new starter welcome information, assisting with late entrance testing admin, assisting with the administration of transition visits.
- Digitising documents to Edgen and electronics student files.
- To oversee and administer the bookings of the school minibuses.
**School Office**
- To be a proactive member of the administration team, providing help and support to colleagues when able and needed, e.g. sending Praise Cards home, typing letters, petty cash, accessing student locker information.
- In the event of a fire alarm or lockdown alarm, take on the role of Fire Marshal.

Support staff at RGS provide a vital role in ensuring that the School not only runs smoothly but continues to develop.
Whether joining one of the administration teams, being a technician, a support assistant, gap student, and working on the finances or around the extensive school estate, RGS welcomes colleagues from all backgrounds to bring an added dimension to our staff body. A range of roles exists from part time, term time only to full time and support staff have excellent opportunities to contribute towards school life. Although we do not ask our support staff to undertake teaching roles, we warmly encourage participation in school trips and co-curricular activities.

Support staff are paid on the RGS scales, which are closely related to the locally negotiated Buckinghamshire Council pay range.
