Smart Auction UK is a national modern property auction company, founded in 2009 in order to revolutionise the property selling and buying market. We help people by making it easier, cheaper and a lot simpler in their property transactions. We are headquartered in Media City UK, Manchester, and have several other offices all over the UK.
We have successfully grown over the years and now work with over 3,500 independent estate agents and over 600 partner branches, offering our service to sellers and buyers. Collectively, we have over 300 years of property experience and are leaders in the auction market.
And no, we don’t just operate with old and dilapidated properties. We sell everything, residential and commercial - from new builds, modern flats and barn conversions to properties that need a bit of TLC. In fact, over 90% of our properties are owner or renter occupied.

**Position Overview**:
As we are in a real stage of growth, we are seeking a **Personal Assistant** (**PA)** to one Client Relationship Manager, to join and be an integral part of our **Manchester** team. The primary responsibility of this role is to support the Client Relationship Manager with his caseload of property matters, organise their diary and assist with general administration assistance to help facilitate a smooth client journey.
**Key Responsibilities**:
- Communication with stakeholders and business partners on behalf of the Client Relationship Manager in a professional manner.
- Engage with new clients in a professional and empathetic manner, understanding their needs and circumstances related to selling their property.
- Organisation of the Client Relationship Manager’s diary, including in-person meetings, scheduling and rescheduling calls, making sure they are always prepared for their day.
- Taking notes, minutes of meetings and notes on all client interactions and recording them appropriately on the CRM system, excel spreadsheets and briefing the Client Relationship Manager regularly in person.
- Reporting back to management in the form of weekly updates, excel report generation and briefs.
- Chase clients on behalf of the Auction Manager in relation to ID, documents, and keep accurate records throughout the auction process.
- Prioritise workloads and tasks daily, weekly and monthly and using initiative to complete them in a timely manner.
- Flexibility to travel with the Client Relationship Manager to clients and stakeholders, required from time to time.
- General assistance with Client Relationship Manager’s caseload of property matters.
- Ad-hoc and personal tasks including picking up clothes from dry cleaners and lunch, amongst others.
- Provide ongoing support to clients throughout all stages of their engagement with Smart Auction UK.

**Qualifications and Skills**:
- Previous experience as a Personal Assistant, secretarial, administration or client services required.
- Excellent communication skills, both verbal and written.
- Ability to engage with clients professionally and empathetically, building rapport.
- Strong organisational skills with attention to detail.
- Ability to work with initiative and perform all daily tasks.
- Proficiency in typing, using Microsoft Office, including Word and Excel.
- Proficiency in using CRM systems or willingness to learn.
- Self-motivated with a positive attitude and the ability to work effectively in a team environment.
- Ability to work in fast paced environment and meet deadlines.
- Knowledge of the property market or auction processes is advantageous but not essential, as full training will be provided.
