Citco Group provides services to our Citco Group of Companies and helps business to succeed in client service excellence.

As a valuable member of our Group Administration team, you will work closely with internal stakeholders and cross-functional teams to support business operations and help them to achieve their goals.

**Your** Role**:

- You will take on a varied multi-tasking role which encompasses client and customer services foremost, while providing necessary support services to all three lines of business operating in the Citco Cayman office to ensure their smooth functioning and daily internal/external communication.
- Cover on a daily basis in support of the three lines of business
- Provision customer services to clients in all telephone communications and serve as a gatekeeper for all walk-in visitors to the Citco Cayman Office Reception area
- Ensure the security of the office area so that non employees are never allowed to be unescorted in the office spaces
- Sort all incoming mail for each of the three lines of business and distribution of same through the contacts for each entity within the target time period; process and record all incoming and outgoing couriers
- Distribute Rightfax communications to the appropriate recipients in each department
- Assist with travel and hotel reservations for both Cayman based and visiting staff and Citco clients as needed
- Support all Board Meetings for all three lines of business including placing any catering orders and assisting with in-office requests for coffee or other items as needed; Boardroom scheduling, assisting Office Manager and Human Resource Business Partner with administrative duties including new hire on-boarding, spreadsheets, recruitment campaigns, filing, and other projects as needed.
- Assist with office supply/canteen ordering and stocking - ensure items in copy room are well stocked and ensure invoices match to placed and approved orders
- Coordinate the Citco Cayman Archive with other operational departments, the courier and the Business Process Manager
- Create weekly electronic Bulletin Board newsletter to all staff

**About You**:

- You have a minimum of 2 years’ office administrative experience.
- Minimum of one year as receptionist in a professional office environment
- Ability to multitask and work under pressure
- Minimum of a High School Diploma; post-secondary education preferred
- Quick thinker, resourceful with problem solving abilities
- Proficient in the use of Microsoft Office Suite with an emphasis on Word, Outlook and Excel
- Demonstrated accuracy, attention to detail and ability to work quickly and to tight deadlines
- Trustworthy; maintain confidentiality when working with sensitive data/information
