The Neonatal Team have an exciting opportunity for a Ward Administrator to work Monday to Friday 8am -4pm (30-minute break) on our Neonatal Intensive Care Unit. The post is interesting and varied and requires an ability to work as part of an administrative team and to support the Badger Lead and Medical Secretaries with administrative tasks, for example filing, data input and reception duties.
Training is provided for the various information technology systems used within the Trust although previous knowledge would be an advantage.

This post is part of an administrative team working within the Neonatal service line. The key responsibility of this role is working on the NICU Reception desk ensuring all systems are kept up to date to allow the smooth running of the ward and meeting the RTT standards which include Badger Data inputting.
- To provide a clerical service to the ward and assist nursing staff in reception of families and visitors to the ward.
- Provide administration support to the team of nursing and clinical staff.
- To liaise with other departments providing necessary notes, referral information and results for medical nursing staff.
- Liaise with consultants, junior medical staff, medical secretaries, central records library, and out-patient staff.
- Ensure all systems are kept up to date to allow smooth running of the ward and meeting RTT standards

- Adhere to Trust policies and procedures, e.g. Health and Safety at Work, Equal Opportunities etc.
- Maintain personal and professional development to meet the changing demands of the job, participate in appropriate training activities and encourage and support staff development and training.
- Attend statutory, essential and mandatory training.
- Respect the confidentiality of all matters relating to their employment and other members of staff. All members of staff are required to comply with the requirements of the Data Protection Act 1998.
- Ensure they attend Child Protection training at the appropriate level within the specified time frame.
- Staff must comply with Safeguarding Policies and Procedures in order to promote safeguarding and prevent abuse to vulnerable people using Trust services.
PRIMARY DUTIES & AREAS OF RESPONSIBILITY
1. To undertake the day-to-day inputting of the neonatal database system.
1. To liaise with and assist site lead for neonatal data management in the administration of the neonatal data system, data quality assurance and report production.
1. To ensure the timely flow of patient documentation to facilitate written communication with health care professionals, Trust performance management and clinical coding colleagues within mandated timeframes.
1. Sorting and dealing with all correspondence and keeping a satisfactory record and filing system to ensure swift retrieval of information.
1. To undertake administrative duties to support the team including filing, photocopying, sending faxes, collecting notes etc. from various locations.
1. Maintain hospital notes in accordance with Trust policies.
1. Liaise with other departments.
1. To make effective use of IPM, Badger and PROTOS maternity system.
1. Tracing of case notes via IPM.
1. To carry out assigned tasks under the supervision of the Service Line Manager or Ward Sister.
1. In periods of ward clerk absence (annual leave/sickness) to be available at the reception desk to perform gate keeping /meeting and greeting role.
1. To be familiar with and adhere to the Health and Safety Policy and other Trust policies and procedures.
1. Demonstrate and awareness of child protection.
1. Work together as a member of the team in providing a welcoming and safe environment for infants, patients and all visitors to the unit.
1. Demonstrate a responsible attitude towards care of equipment, property, and economy at all times.
1. Provide cross-cover for other departments appropriate to banding as required.
1. To receive and welcome parents, children and visitors to the ward.
1. Answering telephone enquiries in conjunction with, and under the direction of, nursing staff.
1. Commence paperwork as appropriate on patient’s admission ensuring information is added to IPMS, Salus and Systems.
1. Make up admission packs, theatre paperwork, etc. as appropriate.
1. Register new patients on iPMS (Information Patient Management System), ensuring double registration does not occur.
1. Receiving results by telephone from laboratories.
