Job Title: Medical Receptionist/Administrator
Responsible to: Practice Manager
Responsible for: N/A
Job Purpose: To undertake medical reception duties at the surgery ensuring the reception area of the Practice runs smoothly, working with other members of the team and provide a high level of service to patients, doctors, nurses and other members of the Practice team.

**Duties and Responsibilities**

Maintain confidentiality at all times. Work in adherence to Information Governance principles.

Provide telephone duties such as:
1. Making appointments

2. Taking requests for prescriptions

3. Respond to patient result queries

4. Ambulance transport bookings (if appropriate)

5. Respond to Home visit requests

6. Deal with general enquiries and sign post to appropriate members of the team

7. Contacting other providers

8. Dealing with referral queries

**Reception Duties**

9. Register new patients and temporary residents

10. Greet and direct patients and visitors

11. Making appointments

12. Dealing with prescriptions

13. Ensure outstanding queries are explained and handed over to next shift, as necessary

14. Respond to needs of doctors and nurses during surgery

15. Collect payments from patients for non-NHS services

16. Deal with general enquiries and complaints

17. General Filing Duties

18. Dealing with requests for repeat prescriptions

19. Raising prescriptions as per Practice protocols

20. Dealing with queries relating to repeat prescriptions

**General duties**

21. Input and extract information from Practice computer system

22. Observe health and safety guidelines at all times

23. Observe clear desk policy

24. Contribute to reception planning

25. Any other reasonable duties as necessary

26. To be able to provide word-processing services to the Practice team including typing letters

27. To behave at all times in a friendly courteous and professional manner.
28. To promote the Practice through personal example.
29. To work diligently under the direction of the Practice Manager and on instruction from the Partners.
30. To liaise with hospital and other professional secretaries concerning referrals, results and appointments.

31. Prioritise and action urgent tasks.

32. Send referrals using the e-Referral system.

33. Check worklists on the e-Referral system to monitor Advice and Guidance responses.

34. Document all referrals and track urgent/2 week wait referrals to ensure appointments have been give/patients seen.
35. Deal with telephone and face to face enquiries from all staff groups, patients, relatives, carers.

36. Providing information, directing and prioritising queries as appropriate, to ensure efficiency and effectiveness of service delivery.

37. Deal with queries from doctors and patients and respond in a timely manner.

38. Any other duties that may be assigned from time to time.

**Training**

41. To attend/complete as part of normal working duties appropriate training modules and sessions as directed by the Practice Manager.

42. To suggest personal training needs for consideration by the Practice Manager / GP Partners.

43. To undergo regular appraisals when performance and training needs will be assessed.

44. To have thorough knowledge of building security for doors/windows/alarm

**Health & Safety**:
The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include:
Using personal security systems within the workplace according to practice guidelines
Wearing mask in reception and following COVID guidelines
Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
Making effective use of training to update knowledge and skills
Usin
