**Job overview**:
**A vacancy has arisen for a part time (22.5 hours), Band 3, Directorate Team Administrator for HMR Children's Services in Rochdale.**

The role will involve working within an integrated friendly team providing the co-ordination and implementation of office procedures and will require a high degree of organisational skills and excellent working knowledge of administrative systems. You will often be the first point of contact and a focal point for the services requiring clear communication and liaison skills and will be responsible for managing and prioritising your own workload and will be required to use your own initiative. You will manage and maintain the Manager’s diary and support the Directorate team

**Main duties of the job**:

- To use a variety of software packages such as Microsoft Word, Outlook, PowerPoint, Excel, Access etc to produce correspondence and maintain presentations, records, spreadsheets and databases.
- To devise and maintain office systems.
- To maintain and update websites and internal databases.
- To collate data for performance reporting as required.
- To attend meetings, taking minutes and keeping notes.
- To liaise with staff in other services and with external contacts.
- To sort and distribute incoming post and organise and send outgoing post
- To organise, store and archive paperwork, documents and computer
- based information
- Manage own workload and act independently within occupational guidelines, using own initiative, seeking advice where necessary from the line manager ensuring confidentiality is maintained at all times.
- To book rooms and support both in-house and external training events

- Education to GCSE level/GCE ‘O’ Level
- Word processing - Qualified to RSA II/NVQ level 3 or equivalent qualification

**Desirable criteria**:

- ECDL or equivalent qualification

**Knowledge, Training and Experience**:
**Essential criteria**:

- Significant experience of providing clerical services
- Comprehensive knowledge of Microsoft packages
- Experience of using IM&T systems for data entry.
- Experience of successfully working within tight time frames and to deadlines.

**Desirable criteria**:

- Knowledge and understanding of the National Health Service.

**Skills and Abilities**:

- Advanced keyboard skills.
- Ability to communicate in a clear and concise manner.
- Proven organisational skills and ability to prioritise workload with interruptions and changing priorities.
- Good numerical skills.
- Ability to multi-task and prioritise own workload.
- Good command and understanding of English, punctuation and grammar.

**Desirable criteria**:

- Understanding of the Data Protection Act.
- Knowledge of Information Governance with regard to maintaining confidentiality of person identifiable information
