**Job Summary**:
Working closely and positively supporting Construction Director, Commercial Manager, Contracts Manager, Project Managers, Site Operatives, Subcontractors and Suppliers managing all aspects of administration for the smooth running of a busy and dynamic office.

**Job Duties**:

- Professionally and positively liaising with Project team, architects, design teams and clients ensuring their requirements are always met, maintained, and supported throughout their projects and in line with the deadlines imposed.
- Manage and coordinate the development and completion of O&M manuals for each project hand over in good timing.
- Efficiently tracking and responding to telephone enquiries/tenders gathering the key information of their requirements for future surveys and quotations of new potential work leads for Director and Surveyor.
- Document Management; Ensure project filing is consistent and systematic across all projects. Ensuring that all new filing and superseding is carried out in a structured manner that maintains consistency across the Procore. Keeping drawing registers up to date to ensure site & office teams are working to correct revisions.
- Attendance to meetings for pre-construction, construction and post construction stages and populating the Project Stage Planner.
- Sending out Pre-Qualification Questionnaire and loading new Sub Contractors onto the system.
- Coordinate Truck driver’s daily diary to help him fulfil his duties in an efficient and cost-effective manner for the smooth running of our sites.
- Receive and coordinate the receipt of new client enquiries and calculate whether it is to be pursued and passed onto Commercial Manager.
- Head administrator for Procore, including all aspects of the filing& administration.
- Oversee and administer the procurement and completion of all of the projects new/ existing utility connections.
- Woodhart Plant tracking, weekly reports
- Registrations for accreditation (FMB, Constructionline, NHQB)
- Holiday cover for company Buyer.
- Manager and administer the calendar which captures internal monthly project meetings, client monthly meetings & holidays.
- Coordinating aftercare support with aftercare manager and reviewing defects
- Social team notifications of all new projects. Liaise with photographer & clients to arrange.
