1. Documentation Management:

* Review and process learner files and eligibility documentation accurately and efficiently.

* Ensure all documentation meets the required standards for funding and quality purposes.

* Maintain up-to-date records in accordance with regulatory requirements.

2. Compliance and Quality Assurance:

* Verify the authenticity and completeness of all learner documentation.

* Conduct regular audits to ensure compliance with internal and external policies.

* Liaise with funding bodies to ensure all eligibility criteria are met.

3. Data Entry and Reporting:

* Accurately enter and update learner information into the academy’s database.

* Generate and analyse reports to track the status and compliance of learner files.

* Identify and resolve any discrepancies in documentation.

4. Communication and Coordination:

* Collaborate with various departments to gather necessary documentation.

* Communicate with learners to obtain missing information or clarify details.

* Provide training and support to junior administrative staff, where appropriate.

5. Process Improvement:

* Identify areas for process improvement and recommend solutions to enhance efficiency.

* Develop and update administrative procedures and guidelines.

Qualifications:

* Bachelor’s degree in Business Administration, Education, or a related field.

* Minimum of 5 years of experience in an administrative role, preferably in an educational setting.

* Strong knowledge of funding and quality assurance requirements in vocational training.

* Excellent organisational and time management skills.

* High attention to detail and accuracy.

* Proficient in Microsoft Office Suite and database management.

* Strong communication and interpersonal skills.

* Ability to work independently and as part of a team.

Preferred Skills:

* Experience with learner management systems.

* Knowledge of current educational funding policies and regulations.

* Previous experience in a senior administrative or supervisory role
