The role will support the effective operation of the Aylesbury Family Hub team, also contributing to Business support tasks across the wider Family Hub Service.

In this role you will oversee the administration of several, service specific systems, and work collaboratively with colleagues to support the day to day operation of the team. You will also directly respond to requests for information about local services and family support, signposting other professionals as well as responding directly to local families requiring support when needed.

This Business Support Officer role is primarily based on site, working from Southcourt Family Centre, as well as travelling to our other Family Centres when needed to ensure we maintain high quality premises that meet the needs of our local communities.

This will be a fixed term/secondment opportunity to cover maternity leave until June 2025.

About the role

In this role you will oversee the administration of several, service specific systems, and work collaboratively with colleagues to support the day to day operation of the team.

This role is primarily based on site, working from Southcourt Family Centre, as well as travelling to our other Family Centres when needed to ensure we maintain high quality premises that meet the needs of our local communities.

Key Tasks will include:

  • General oversight of all facilities (family centres) in locality area and linking with colleagues with facilities responsibilities to ensure all sites are maintained and Health and Safety Compliance is met.
  • Actively supporting Family Hub Team access points and being an active presence across all sites as required
  • Monitoring Family Hub inbox on Outlook as well as digital post rooms
  • Coordinate termly timetables for the Family Centres including the c o-ordination of partner bookings for the Family Centres and responding to any ongoing queries from centre users.
  • Oversight of Family Hub contact tray on EHM/LCS
  • Coordination and monitoring of group referrals
  • Key Finance tasks such as, Purchasing, Invoicing, supporting the Forecasting and oversight of team Cost Centres
  • To support general team business activity e.g. DBS Checks, IT / Mobile phone log
  • Lead in minute taking during important meetings

Any-Desk:

As an ‘any-desk’ worker, you’ll need to be connected to our network to access digital folders and resources, but this can either be from home or an office location when required. You will be required to work from the office a couple of times a week, depending on your role and team requirements.

About you
  • Exceptional customer service skills to respond to members of the public with empathy
  • Budget / financial monitoring at an appropriate level for the role.
  • Excellent ICT skills - including use of Microsoft applications and specialist systems which support procedures and record keeping.
  • Excellent written and verbal communication skills and the ability to build relationships and influence others based on knowledge of the area.
  • Good planning and organisational skills, with proven ability to prioritise workloads, monitor and evaluate work, to ensure deadlines are achieved.
  • Numerate and accurate with good attention to detail.
  • Proven initiative and judgement to identify and resolve problems.
  • Educated to A level / HNC standard or equivalent.
  • Authoritative knowledge of relevant processes, systems, policies and procedures.
  • Broad knowledge of relevant processes and procedures, regulations, codes of practice, required outputs and a working knowledge of other relevant Council areas.
