New Business Bid coordinator

About The studio:

We are currently searching for a talented New Business Bid coordinator for a global design practice based in West London specializing in retail and hospitality. With a diverse team of 100 people from around the world, the studio fosters a culture of collaboration, creativity, and innovation. The studio is looking for a Bid Coordinator to join the team, supporting the Communications Director and Senior Management in converting general awareness into new client acquisition through the production and submission of PQQs, competitions, bids, and tenders.

Key Responsibilities

  • Demonstrated experience in coordinating, compiling, and packaging bids and tenders for submission, ensuring deliverables meet all bidding requirements accurately.
  • Keen attention to detail and organizational skills to manage busy workloads and adhere to strict deadlines effectively.
  • Familiarity with the design sector is beneficial, along with experience in communicating and working in the Middle East and Europe.
  • Excellent time management skills, with the ability to delegate tasks to team members and monitor progress efficiently.
  • Strong interpersonal and communication skills, enabling the development and maintenance of collaborative relationships both internally and externally at all levels.
  • Ability to analyze client and bid requirements, develop response plans, and turn client communication into winning written responses.
  • Proficiency in IT and graphics software, including InDesign, Photoshop, and MS Word.
  • Compile PQQ and tender responses, liaise with sub-consultants, proofread team members' contributions, and ensure bids meet high standards and brand guidelines. Seek out opportunities, especially in Europe and the Middle East.
  • Ensure bids are fully supported with collateral such as case studies, CVs, and images, while supporting project teams and bid administration tasks.
  • Develop and maintain CRM software, including contact management, lead input, and lead conversion tracking.
